The Department of Epidemiology has an outstanding opportunity for a 0.3FTE Program Coordinator to join their team. The University of Washington Fetal Alcohol Syndrome Diagnostic and Prevention Network (FAS DPN) is looking for a Program Coordinator to join our clinical/research program. The FASDPN, now in its 34th year, serves as the core clinical/research/training site for the statewide FASDPN. The mission of the FASDPN is prevention of fetal alcohol spectrum disorders through diagnosis, intervention and research.
DUTIES AND RESPONSIBILITIES The Program Coordinator supports the interdisciplinary FASDPN clinical team, which conducts 35 diagnostic clinics annually on Fridays, evaluating two patients per clinic. Working under the supervision of the full-time Patient Care Coordinator, the Program Coordinator assists patients and their caregivers in preparing for their clinic visits.
Prepare Program Documents for Weekly Clinic – 70% Record key data (growth measures, neuropsychological test scores, medical conditions) from patient records (PDFs and the EPIC UW electronic medical record system) into the FASD Diagnostic Form and Patient Case Summary Form.
Verbally present this information on these two forms to the clinical team at the start of each diagnostic evaluation at 8:30 am and 12:30 pm on Fridays.
Administrative Functions to Support Program Office – 30%
Assist the student office assistant with the following tasks as needed: Process patient intake forms (scan documents, triage for screening, organize in electronic folders); Obtain patient consent to collect birth, school and medical records; Process patient records upon receipt (scan, organize in electronic folders); Collect and distribute incoming mail. Prepare and mail outgoing packets; Score patient/caregiver clinical questionnaires.
Answer and triage phone calls and help host the Friday clinic zoom when Patient Care Coordinator is out of the office.
Other duties as assigned.
MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of experience working with pediatric and disabled populations.
ADDITIONAL REQUIREMENTS
Medical/research programs that require Human Subjects certification
HIPAA certification
EPIC UW medical records training and access
AMC computer access
Understanding of medical terminology.
Friendly and professional demeanor, with a positive, optimistic, success-oriented attitude.
High level computer skills, including Office 365 (Word, Excel, OneDrive), Google, Adobe, OneDrive and zoom products.
Effective writing skills. Proven ability to write clear electronic mail messages with a positive tone, correct grammar and punctuation, and follow standards when applicable.
Proven ability to work independently and problem solve, take initiative, set priorities and handle multiple projects and deadlines, as well as the ability to respond effectively and quickly to changing priorities and stressful situations.
Keen and efficient organizational skills.
