The University Controller’s Office (UCO), within the Finance & Budget Strategy Division of Finance, Planning, and Budgeting (FPB), is responsible for the management, oversight, and coordination of customer/client information, payments, and accounting to the University of Washington. The Customer Revenue Manager plays a key role in the financial management and administration within the institution ensuring the accurate and timely processing of transactions for the organization as well as developing and maintaining customer and revenue focused policies. This position is responsible for advising and participating in Workday Governance, guiding stakeholders on requirements, policy development and oversight, business process management, and the owner of various UW business workstreams.
The
Customer Revenue Manager will oversee daily operations of the miscellaneous revenue processes (non-sponsored award revenue), manage the processes for internal customer and external customer invoicing, develop and maintain customer contract management processes and policy development, support system quality and improvements and support the central financial reporting team with accounting issues and journal entries. Revenue processes link directly to financial reporting results, and therefore involve revenue recognition and other GAAP understanding and application.
DUTIES AND RESPONSIBILITIES Strategy and Policy Development/Execution
• Develop, implement, evaluate, and continuously improve community training, job aids, policies and procedures related to internal supplier (internal billing units) and external customer billing and accounts receivable functions, otherwise known as the “Customer Requisition to Payment” (CR2P) workstream in alignment with the Academy’s overall business requirements
• Advise, lead, and collaborate with cross-functional teams as the academy business owner for the CR2P workstream to ensure that operational needs of academy business units are integrated into all relevant business processes and systems. This includes working with local and central IT, and other departments to ensure that all stakeholders understand their roles and responsibilities
• Develop and maintain policies covering customer registration, customer contracts, and other aspects of customer and revenue functions. Partner with Financial Reporting in developing and maintaining revenue recognition policies
Team Management
Provide leadership and manage the Customer Revenue Team
• Manage the day-to-day operations of the Customer Revenue Team
• Oversee internal and external billing processes, A/R aging management and external collections
• Oversee maintenance of Workday financial system values, tables and/or code structure to support business processes and related accounting results supporting proper GAAP
• Work with a diverse group of individuals to create a culture of inclusion and equity
• Manage work and teams in a matrixed environment
• Create and manage the budget of the Customer Revenue Team
• Manage a team of professionals who will maintain revenue cycle processes for various customer types and create policies and support customer contract management
• Hire and oversee contract vendors as appropriate
• Oversee and approve specifications for bids and cost estimates as provided by the production managers.
• Responsible for management, staff development, career enrichment, and training.
Program Development and Management, System Management and Support
Manage customer and revenue related program and business processes, serving as the business owner of non-sponsored and non-patient related customers.
• Support the Academy business processes associated with customer billing and receivables in Workday by serving as the business owner of the (non-sponsor and non-patient) customer and revenue business functions making key program or business process decisions related to the following, but not limited to:
o Customers - Workday customer configuration.
o Customer Invoices (UW to external parties).
o Internal UW billing.
o Customer Receivables reporting and policy compliance.
• Develop and deliver training to end users on the use of Workday business processes associated with customer billing and receivables
• Partner with other FPB teams, Academic units and UWIT to develop, prioritize and implement solutions/technical improvements
• Ensure all governmental and external loan agencies' rules and regulations are met and maintain internal documentation in support of that compliance
• Stay up-to-date on industry trends and best practices related to Workday governance, and recommend changes to our policies and procedures as appropriate. This includes attending conferences, networking with industry peers, and researching emerging trends and technologies.
Accounting and information analysis
• Provide revenue recognition guidance to academic and other business units related to revenue generating activities
• Assess accuracy of revenue results, classification of revenue, necessary period close entries
• Provide guidance to units in revenue processes such as internal overhead assessments, internal billing coding, internal revenue elimination processes
• Monitor and report on common invoicing and A/R metrics or KPIs, identifying areas for improvement and implementing corrective actions as needed. This includes analyzing data related to system usage, user behavior, and compliance with policies and procedures
Administration
• Review customer requisitions for accuracy and completeness, ensuring that all required information is provided and that the requisitions comply with company policies, procedures, and governance requirements
• Other duties as assigned
• Ensure training and cross-training across FPB staff on business processes and systems
MINIMUM REQUIREMENTS • Bachelor's degree in Business Administration, Accounting, or Finance, and five years of experience in accounts receivable administration, financial accounting, or finance, to include 2 years of progressively responsible leadership/management experience; demonstrated commitment to developing others to become leaders and creating a culture of inclusion and equity throughout the team while supporting the overall culture of UW Finance, Planning, and Budgeting.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS • Knowledge of financial management systems and processes, including purchase orders, invoices, payments, and governance requirements
• Excellent communication and organization skills, with the ability to work independently and as part of a team
• Demonstrated ability to work collaboratively with cross-functional teams and build strong relationships with stakeholders
• Experience managing teams, including setting goals and objectives, measuring performance, and providing coaching and training as needed
• Knowledge of general invoicing and collection practices and procedures
• Demonstrated experience in working on diverse groups and teams; respects, values, and contributes to UW Finance, Planning and Budgeting and UW’s commitment to diversity, inclusion, and equity
DESIRED QUALIFICATIONS • Experience with Workday Finance or other modern cloud-based ERP system
• Experience in revenue cycle accounting, revenue recognition principles
• Working knowledge of generally accepted accounting principles (US GAAP) and methods and terms, preferably with an emphasis on higher education accounting
