Job Overview
The MEANY CENTER FOR THE PERFORMING ARTS at the University of Washington has an outstanding opportunity for a PART TIME ARTIST SERVICES COORDINATOR. This individual will work as a part of a dynamic team to provide administrative and program operations support for the MEANY CENTER FOR THE PERFORMING ARTS. This position requires excellent organizational and coordination skills, effective prioritization and time management skills, a high degree of professionalism, and strong communication skills.
The Visiting Artists Program at Meany Center brings some of the world’s most renowned artists in classical music, dance, and global/contemporary music to our campus to perform and engage with our campus and community. This position will independently perform tasks necessary for organizing, planning and implementing our artist services, including hospitality and travel logistics, for the Meany Center Visiting Artists program. This is a central position within Meany Center to coordinate and communicate key information regarding program activities to ensure artist and organizational needs are met for each performance.
Employee works in Meany administration office, Meany Theater and green room, and partner venues on campus and in the community. Evening and weekend attendance at select performances is required.
DUTIES AND RESPONSIBILITIES Serve as a key member of Meany’s contracting team, responsible for reviewing artist contracts and riders and maintaining accurate records to distribute key information across Meany Center on BASECAMP (project management software).
Serve as a primary point of contact between Meany Center staff and artists’ managers and agents in advance of shows to communicate and make recommendations regarding hotel, travel, catering/hospitality, outreach and event schedules, complimentary tickets and backstage lists, rehearsals, outreach and special event requests.
Reference the Meany Center Artist Relations budget in making decisions about unanticipated artist services requests as they arise.
Oversee the work of one “lead” student artist services assistant, who will be responsible for attending to most of the on-the-ground hospitality needs of our visiting artists and for leading/sharing information with other student green room attendants on site as needed.
Coordinate on-site logistics for Meany Center Visiting Artists, ensuring efficient operations in alignment with the organizational mission. Advance/arrange hotels, ground transportation and rehearsals for artists.
Delegate administrative and driving responsibilities to the artist services assistant as needed.
Plan catering and hospitality services for the season, including shopping and stocking the green room in advance of performances and delegating specific shopping/stocking duties to the artist services assistant in advance of performances.
Communicate with vendors to ensure that artists’ hospitality needs and dietary restrictions are met to the best of our ability.
Communicate with artists and artist representatives on scheduling and confirming contracted “ancillary” events such as technique classes, in-school residencies, other campus and community outreach, and philanthropy events, in collaboration with key Meany staff.
On-site logistical assistance at engagement events will occasionally be expected.
Direct the work of our green room attendants—including scheduling shifts and communicating with student staff about their schedules and responsibilities.
Work occasional Green Room shifts in the evenings to provide artist hospitality and logistical support.
Assist with budgeting efforts by projecting expenses based on rider requests and hotel/transportation needs. Monitor expenses and make recommendations to ensure organizational goals are met while being considerate of budgetary constraints.
Some driving duties are required.

MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
ADDITIONAL REQUIREMENTS
Expertise in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook)
Current driver’s license
Ability to work evenings and weekends at select performances
Demonstrated ability to work independently, effectively interact with a wide variety of individuals and organizations, exceptional attention to detail, strong organizational and communication skills
DESIRED QUALIFICATIONS
Experience with and respect for a diverse environment, inclusive of artists, students, faculty and staff of many social, economic, cultural, ideological, racial and ethnic backgrounds
Interest in the performing arts
Program coordination or project management experience; a background in production or event planning a plus
Flexibility, creativity, team-oriented, and motivated individual
The ability to remain calm and professional under pressure
A strong sense of empathy and a desire to support performing artists during the rehearsal and performance process
