The LLC is currently seeking a Program Operations Specialist who will be responsible for establishing and coordinating centralized language testing, supporting the director with securing funding for novel projects, supporting administration of grants from award to closeout, as well as administrative support and supervision.

Along with the administrative aspects, this position is expected to communicate effectively with multiple stakeholders, including students, staff, faculty, community partners, and sponsoring organizations.
This position requires excellent organization, communication, interpersonal skills, and attention to detail.
Serving more than 6,500 students annually, the Language Learning Center (LLC) provides interactive multimedia and computing resources to facilitate authentic language and cultural learning at the University of Washington. The center integrates technology into the language classroom and support every language program on campus through its digital audio, video, and software resources. Through the integration of this technology in the classroom, the LLC strives to make language learning more exciting, current, and relevant.
DUTIES AND RESPONSIBILITIES
Language Test Coordination
  • Lead language test administration, including drafting procedures, coordinating with language departments and language testing companies, scheduling between student and proctors (support with proctoring as needed)
  • Develop long-term plan for centralized language testing support, migrating testing administration from individual departments to LLC
  • Maintain student test results and report results to Registrar’s Office
  • Support student registration and advising for certain language classes (e.g., Spanish)
  • Submit student results to award the Global Seal of Biliteracy and distribute awards to recipients
  • Maintain website content for testing
  • Collect and analyze data on testing and language proficiency outcomes; support LLC research and reporting on language course proficiency benchmarking
  • Work with interested faculty to develop in-house, low to no-cost testing for students
    Program / Project Development
  • Support Director with securing funding for novel projects (e.g., open educational resource development)
  • Pre- and post-award support (e.g., search for grants, prepare award materials, budget proposal)
  • Monitor milestones for grant projects
  • Strategize and increase outreach with community organizations and schools (e.g., local education/language non-profits, community colleges)
  • Work in partnership with community partners through grant collaboration, regular communication, and project support
    Administrative Support
  • Work with shared services on specialized admin projects
  • Respond to information requests regarding resources and resources access; drop-in-lab, computer classrooms, media production studio, etc. Maintain usage data as needed
  • Assist with event preparation (reserve rooms, produce flyers, order catering, etc.)
  • Provide basic technical troubleshooting to faculty, staff, and students for all department office machines
  • Support, coordinate, and track unit-wide projects, monitoring and reporting on progress
  • Train and orient student workers; allocate time for student work schedules
  • Maintain confidential documents and files according to established retention guidelines
  • Establish office and administrative systems and procedures, analyzing current workflows and practices to ensure compliance with University of Washington policies and/or other external regulations
  • Other duties as assigned.
    MINIMUM REQUIREMENTS
  • Bachelor's Degree in Linguistics, Language, Education, Psychology or any related field.
  • Minimum work experience of two to three years
    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
    ADDITIONAL REQUIREMENTS
  • Experience working as administrative support for a language education program
  • Experience with grant applications and management
  • Knowledge of UW financial systems, procedures, policies, and offices
  • This individual must have excellent project management, organizational, communication and interpersonal skills, as well as attention to detail; ability to manage multiple stakeholder relationships and communicate effectively with diverse audiences
    DESIRED QUALIFICATIONS
  • Experience working with marginalized peoples/languages/cultures in ways that are respectful and constructive, with recognition of past and present power imbalances, as well as legal/cultural factors
  • Has multilingual and/or multicultural competencies
  • Knowledge and experience with Workday Financial Software
