The School of Dentistry has an outstanding opportunity for a Patient Services Specialist 2 to join their team. POSITION PURPOSE The Department of Oral Medicine houses the Dental Education in the Care of Persons with Disabilities (DECOD) Program. The DECOD Program is a leader in the field of oral health care for patients with disabilities. Goals of the DECOD Program include: 1) improve the oral health of patients and contribute to their well-being and oral function; 2) improve access to oral health care for persons with disabilities by educating and training an oral health workforce; and 3) promote research, outreach, and interprofessional education, and practice related to special care dentistry. The Patient Services Specialist 2 (PSS2) will perform duties independently, providing comprehensive administrative support to ensure efficient patient access and care coordination. Responsibilities include processing incoming referrals, scheduling patient appointments, verifying demographic and financial information during the pre-registration process, and completing patient registration by obtaining necessary consents for medical care and financial responsibility. The PSS2 also manages patient paperwork, coordinates services with other departments, triages incoming patient calls to clinical staff as appropriate, and provides accurate information about available services to patients and families.
DUTIES AND RESPONSIBILITIES • Prepare and collate office materials; mail documents and informational materials to patients
• Fax medical records and documentation to external providers in accordance with privacy regulations
• Communicate with providers and care team members using Microsoft Teams and other secure messaging platforms
• Schedule and coordinate Zoom appointments for providers and students
• Call in prescriptions to pharmacies as directed by licensed providers, ensuring accuracy and compliance
• Obtain and verify patient demographic and financial information during registration or pre-visit workflows
• Process patient-related paperwork, ensuring accuracy, completeness, and timely documentation
• Schedule appointments based on patient needs and scheduling guidelines
• Enter, cancel, and reschedule appointments in the online appointment system
• Maintain patient records in axiUm; including scanning patient charts
• Manage internal and external referrals, ensuring all required information is collected
• Facilitate check-in and check-out processes, including managing related paperwork and charge documents
• Coordinate interpreter services for patients
• Perform general clerical tasks: answer and screen calls, process mail, send information to patients
• Perform related duties as assigned
DUTIES AND RESPONSIBILITIES High School graduation or equivalent AND one year of healthcare, administrative, or customer service experience.
