The Department of Medicine has an outstanding opportunity for a full-time Residency Program Coordinator. The Department of Medicine is the largest department in the School of Medicine with over 4500 staff, faculty, trainees and students and an annual budget of approximately $500,000,000 consisting of patient care revenue, sponsored research funds, endowments and gifts, state funds and affiliated hospital funding associated with the academic programs within the department. The department is made up of eleven subspecialties divisions: Allergy and Infectious Diseases; Cardiology; Gastroenterology; General Internal Medicine; Gerontology & Geriatric Medicine; Hematology-Oncology; Medical Genetics; Metabolism, Endocrinology and Nutrition; Nephrology; Pulmonary, Critical Care and Sleep Medicine; and Rheumatology. These divisions occupy space at multiple sites including University of Washington Medical Center (UWMC), Harborview Medical Center (HMC), Veterans Administration Puget Sound Health Care System (VAPSHCS), Bloodworks NW, Fred Hutch, and other locations in the Seattle area.
Under minimal supervision, the Residency Program Coordinator will provide a wide range of administrative and operational support for various tracks and pathways in the residency program. Primary duties will include organizing and coordinating the unique curricular experiences for each of the tracks and pathways, including administrative duties necessary to facilitate success of the curricular experiences.
This role will specifically focus on activities of the health equity pathway, health systems pathway, clinician educator pathway, physician scientist learning pathway, physician scientist track, intern year for the Alaska Internal Medicine residency rural program, and the internal medicine/genetics combined residency program. The Residency Program Coordinator additionally will interact with faculty, residents, fellow(s), medical students and institutional and regulatory administrative offices regularly in this role.
DUTIES AND RESPONSIBILITIES Coordinate unique curricular experiences for each track/pathway, including contacting different sites and faculty leaders, scheduling, organizing room reservations, coordinating didactic sessions, planning special events and other administrative duties necessary to facilitate success of the curricular experiences.
Coordinate outside electives which include applications to hospital(s), malpractice coverage confirmation, and evaluation forms.
Process verifications of resident trainings for residency program as a whole, ensure compliance with rotation-specific credentialing requirements at each approved site of training.
Facilitate the outside work internal moonlighting approval process for the program in conjunction with the program director and associate director.
Act as a primary liaison between the program directors, chief residents, residents, program faculty, GME Office, and affiliated teaching sites concerning residency program matters.
Provide information, support, and problem solving for residents and program faculty on a wide range of residency personnel and program issues.
Facilitate the presentation scheduling of residents at departmental seminars
Work on routine and special projects, including orientation activities, resident retreats pathway selection processes, and pathway conferences and Senior Scholarship Symposium.
Maintain residency alumni data base, and alumni relations and process credential forms for previous residents.
Compiles, tabulates and reports data for surveys, questionnaires, census reports, accreditation reports and other forms and documents required by internal and external agencies as directed by the Associate Director.
Serves as an information source for the program, institution(s) and community.
Prepare reports and correspondence related to highly confidential materials.
Builds and maintains effective relationships with community and hospital attendings and their offices.
Maintain organized fiscal records in compliance with UW, State and granting agency rules and regulation.
Maintain knowledge of current medical licensure requirements, ACGME accreditation and institutional requirements.
Manage educational files for all current residents and graduates and archive graduated resident files in accordance with UW Records Management retention schedules.
Adhere to procedures and systems that ensure orderly and timely workflow.

MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
DESIRED QUALIFICATIONS
Demonstrated dedication to equity, diversity and inclusion.
Experience scheduling meetings, maintaining multiple calendars, organizing events, from guest invitations to liaising with event venues, ability to foresee logistical challenges.
Proficiency with use of computers including applications such as MS Office, Excel, Outlook, Word, PowerPoint, as well as OneDrive and Zoom.
Demonstrated ability to work independently with minimal supervision. Proven ability to proactively and independently solve problems in both routine and urgent situations.
Demonstrated ability to multi-task, keep deadlines, prioritize work and manage heavy workloads with frequent interruptions; attention to detail is a must.
