UW Lab Medicine & Pathology brings together state-of-the-art technology and highly trained, world renowned personnel to provide comprehensive diagnostic and personalized service to physicians, community hospitals, independent laboratories, and other health care organizations. Our operations are based at the University of Washington Medical Center, Harborview Medical Center, South Lake Union, Northwest Hospital and the Seattle Cancer Care Alliance. Lab Medicine & Pathology faculty members also serve at Seattle Children's Hospital, the Veteran’s Administration Puget Sound Healthcare System, and the Fred Hutchinson Cancer Research Center. These collaborative efforts have generated innovative, translational studies in the basic mechanisms of disease as they apply to diagnostic pathology.
Department of Lab Medicine & Pathology currently has an outstanding opportunity for a permanent full time Program Coordinator (NE S SEIU 925 Non Supv).
The Program Coordinator reports to the Education Manager. The coordinator provides professional administrative and program support in regards to the educational program and operations. This may include but is not limited to organizing events, scheduling, evaluations and compliance for medical students, residents and fellows.
DUTIES AND RESPONSIBILITIES Liaison for WWAMI region Clerkship Coordinators and Preceptors, serving as main point of contact for preceptor ship and any education-related programs for med students.
Coordinate residency and fellowship recruiting including advising candidates on program requirements, managing candidate application materials and correspondence, scheduling interviews with candidates and faculty members, preparing travel documentation, and reimbursement requests.
Assist in preparation of accreditation review documentation.
Track conference attendance and evaluation for required training conferences.
Process Visa applications through Graduate Medical Education Office and International Student Office.
Maintain compliance documentation for trainees with multiple training sites including UW departments and off-campus hospitals.
Coordinate electronic distribution and retention of evaluations of trainees and programs as required by the program and the accreditation organization.
Coordinate scheduling of program meetings and events.
Assist residents and fellows in the preparation of travel documents; Process travel reimbursements;
Advise faculty, trainees, and interdepartmental and outside constituents about program policies and procedures.
Prepare narrative and/or statistical reports regarding program operations for program directors.
Represent program at interdepartmental meetings as assigned by the Education Manager.
Taking meeting minutes.
Maintain training and conference schedules for the use by trainees, faculty, and administrative staff.
Maintain confidential training records.
Respond to request for verification for former residents and fellows.
Maintain a knowledge base on the policies and procedures related to graduate medical education.
Provide cross-coverage for other members of the team as requested by the Education Manager.
Provide support for other projects as requested by the Education Manager Coordinate and report time and leave information in multiple computer systems for residents and fellows to School of Medicine Finance.
Assist and help maintain visiting residents and our new Post-Sophomore Fellowship.
Perform related duties as required.
Attend meetings as required.
MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of academic support or program support OR equivalent education/experience.
ADDITIONAL REQUIREMENTS
Experience coordinating events including conferences or large meetings.
Excellent written and oral communication skills.
Excellent office organizational skills under competing project deadlines in a fast-paced environment with attention to detail and quality of work.
Demonstrated experience working in a team environment with ability to work independently within supervisory guidelines.
DESIRED QUALIFICATIONS
Intermediate/advanced computer skills, especially Microsoft Office Suite; Excellent proactive problem solving skills; Experience with medical education programs, especially residency and/or fellowship graduate medical education program(s); BA/BS in related field or equivalent.
Experience with any or all of the following programs: ERAS, MedHub, and/or eValue.
