The School of Pharmacy has an outstanding opportunity for a Program Coordinator. The Program Coordinator provides administrative and operational support to the Office of Professional Pharmacy Education in the areas of general operations, experiential education, student affairs, professional development, interprofessional education, preceptor development, and events.
As this position serves as the initial contact for external inquiries about the Doctor of Pharmacy (PharmD) program, it requires the ability to engage comfortably with people and to deliver specific and detailed knowledge about the program (e.g., prerequisites, policies and procedures, application deadlines, etc.). The position also requires the ability to provide reliable, accurate, and consistent administrative support – using independent judgment when appropriate – with the overall goal of facilitating the success of students in the Doctor of Pharmacy (PharmD) program.
General Operations
•Greet, interact with, and provide information to current and prospective students, faculty, staff and the general public, serving as the initial contact for the PharmD program.
•Answer organizational phone lines, check voicemail messages, monitor organizational email inboxes, and coordinate and deliver postal mail once per day, triaging inquiries as needed.
•Provide calendar and scheduling support for OPPE Leadership.
•Schedule meetings for members of the OPPE and other individuals across the School of Pharmacy and in the greater community
•Provide administrative support for OPPE meetings and assigned committees within the School of Pharmacy.
•Assist with room scheduling and management of the conference room calendar as needed.
•Maintain office inventory and order supplies as needed, including parking validations.
•Occasionally run office-related errands on and off campus.
Experiential Education
•Manage and track student Introductory Pharmacy Practice Experience, Advanced Pharmacy Practice Experience, and Wednesdays in Practice prerequisite records, including immunization status, first aid/CPR certification, submission of forms, and attendance at required orientations.
•Manage student onboarding requirements for experiential education. Track site requirements and work with students to ensure all the requirements are met.
•Schedule and oversee compliance activities for students such as scheduling CPR and First Aid trainings and clinics through the Health Sciences Immunization Program.
•Schedule and assist with managing student and preceptor events such as mock interviews, standardized assessments, retreats, and capstone course activities.
•Complete site-specified paperwork where necessary for students going to IPPEs and APPEs.
•Schedule site visits for members of the Experiential Education team as needed. Participate in site visits as appropriate.
•Identify and delegate tasks to the student office assistant
Student Affairs
•Assist with Admissions interview day preparation and support
•Provide administrative support to Admissions by assisting with PharmD application processing
•Gather data and produce reports, lists, and other documents containing student information, photos, etc.
•Coordinate student locker assignments on a yearly basis, coordinating with Health Sciences facilities
•Monitor PharmD student listservs, approving or denying postings and updating memberships as needed
•Coordinate the tracking of incoming student onboarding requirements
•Revise website and update prerequisite course equivalency according to direction of the Advisor and Admissions Chair.
Professional Development
•Regular [email protected] email inbox upkeep (responding to inquiries, etc.)
•Posting new internship/jobs/fellowship/residency positions on Current Student Canvas
•Regularly updating Current Student Canvas (deleting outdated postings)
•Assistance with weekly email digest curation
Interprofessional Education
•Provide support for Interprofessional Education activities including logistical coordination, event planning, and communication. Some events will be held in the evening.
Event Coordination
•Provide coordination support including rooms, food, and communications for various events throughout the year (e.g., Welcome Week, Admissions interviews, Graduate Recognition Ceremony, Orientation, the Welcome to the Profession Ceremony, Professional Networking Day and various other meetings, conferences, and student events Information sessions, etc.).
Requirements
•High school graduation or equivalent AND two years of experience in student-supporting roles within a college or university setting
Additional Requirements:
•Strong verbal, written, and interpersonal communication skills, critical thinking and problem-solving skills
•The ability to work effectively, cooperatively, and professionally, despite interruptions.
•Work responsibilities require a high degree of confidentiality and attention to detail
•Ability to perform work using independent judgment in interpreting and applying rules, procedures, and regulations.
•Ability to multi-task in a fast-paced office and handle interruptions gracefully.
•Must be detail-oriented, accurate, and efficient.
•Must have the ability to make independent judgment within a framework of established guidelines
•Must have the ability to handle competing demands for time, exercise discretion with sensitive information, and take initiative when appropriate.
•Must be flexible and willing to perform other administrative duties as assigned (within the scope of general administrative duties).
•Excellent written, verbal, and interpersonal communication skills.
•Proficiency with Microsoft Word, Outlook, PowerPoint and Excel, as well as Adobe InDesign or Publisher
•Familiarity with web-based tools (i.e., SharePoint, Google Docs, etc.),
•Experience creating marketing materials for recruitment.
Desired
•Bachelor's Degree or equivalent OR equivalent experience in program coordination
•Familiarity with UW tools such as Catalyst, Canvas, EARS, etc.
•Familiarity with web editing (in content management systems) and/or HTML
•Experience in Admissions, Academic Services, Student Services, or other academic setting in higher education
•Proficiency with PharmCAS and WebAdmit, the web-based application tools critical to our Admissions processes
