What Administrative Assistant Resumes That Reached Interviews Share
Nine people in our data landed administrative assistant interviews with an attached resume, across 13 resume versions. That is a small group, so read the resume-level numbers as direction, not law. The posting percentages below come from a much larger set: 3,530 administrative assistant job listings.
- One person in this group reached an administrative assistant interview coming from prep cook, customer support, and community peace officer work, with a high school diploma and one certificate. The door into admin work is wider than most people assume.
- Career changers fill this group. A music educator, a bookkeeper who ran a small business, a curriculum developer, and a logistics planner all reached interviews. Adjacent work counts when the bullets show real office skills.
- Communication appears in 72% of the 3,530 postings we read, in one phrasing or another. Organizational skills follow at 59%. These listings name traits first and software second, so lead with both.
- Microsoft Office turns up in 48% of postings. Excel gets named on its own in 15% and Google Workspace in 10%. Write the exact tool. "Computer literate" matches nothing a screener searches for.
- Calendar management or scheduling shows up in 22% of postings, confidentiality in 20%. Both are easy to prove with a number: how many calendars, how many meetings, whose files.
- Twelve of the 13 resumes in this group opened with a summary, and the median listed 29 skills. These candidates gave screeners a lot of exact-match text to catch.
- Almost every resume here ran two pages or under, with a median near 1.9 pages. Nobody needed a third page, and nobody crushed a real work history onto half a page.
- A bachelor's degree showed up on 10 of the 13 resumes, but it was not the gate. Associate's degrees, certificates, and a high school diploma reached interviews too.
