Administrative Assistant

Sections

An administrative assistant keeps an office from grinding to a halt, and a good resume has to prove it in numbers. How many calendars, how many invoices, how many records without a mistake. The example below is drawn from real resumes that reached administrative assistant interviews, and the rest of the page shows what 3,530 job postings say the work actually asks for.

Huntr's database includes 676 administrative assistant resumes, and the lead example is an anonymized composite of those that reached the interview stage. That verified set is small but real, with no invented figures. The work comes out of our research and was reviewed by Sam Wright, Huntr's Head of Career Strategy. Names, employers, and schools are swapped for comparable real ones, so no example is a real person, and the labeled role-specific models draw on real administrative assistant postings.

What Administrative Assistant Resumes That Reached Interviews Share

Nine people in our data landed administrative assistant interviews with an attached resume, across 13 resume versions. That is a small group, so read the resume-level numbers as direction, not law. The posting percentages below come from a much larger set: 3,530 administrative assistant job listings.

  • One person in this group reached an administrative assistant interview coming from prep cook, customer support, and community peace officer work, with a high school diploma and one certificate. The door into admin work is wider than most people assume.
  • Career changers fill this group. A music educator, a bookkeeper who ran a small business, a curriculum developer, and a logistics planner all reached interviews. Adjacent work counts when the bullets show real office skills.
  • Communication appears in 72% of the 3,530 postings we read, in one phrasing or another. Organizational skills follow at 59%. These listings name traits first and software second, so lead with both.
  • Microsoft Office turns up in 48% of postings. Excel gets named on its own in 15% and Google Workspace in 10%. Write the exact tool. "Computer literate" matches nothing a screener searches for.
  • Calendar management or scheduling shows up in 22% of postings, confidentiality in 20%. Both are easy to prove with a number: how many calendars, how many meetings, whose files.
  • Twelve of the 13 resumes in this group opened with a summary, and the median listed 29 skills. These candidates gave screeners a lot of exact-match text to catch.
  • Almost every resume here ran two pages or under, with a median near 1.9 pages. Nobody needed a third page, and nobody crushed a real work history onto half a page.
  • A bachelor's degree showed up on 10 of the 13 resumes, but it was not the gate. Associate's degrees, certificates, and a high school diploma reached interviews too.

Why it works: It reads like a track record, not a job description. Every role names what the office got out of the work: faster prep, fewer conflicts, cleaner records. Read the methodology for how we build these composites.

The summary: Three lines that lead with scope, not adjectives. Eight-plus years, executive support, and one concrete gain: operational efficiency up to 80% from process work. It tells a screener the level and the specialty in a breath.

The experience: The bullets count things: preparation time cut 40%, scheduling conflicts down 25%, travel booking time halved, a 98% stakeholder satisfaction rate on confidential transfers, and 121 strategic meetings coordinated. Routine work, measured.

The skills: A tools-and-tasks mix a posting would search for: calendar and meeting management, travel coordination, confidentiality, expense reporting, Microsoft Office Suite, SharePoint, Teams, Google Workspace, and QuickBooks. Nothing filler.

The rest of the examples are labeled models. They are built from Huntr's best-practice guidance and the skills real administrative assistant postings name, so you can see how each version reads on paper.

Skills for an Administrative Assistant Resume

We counted skills across 3,530 real administrative assistant postings on Huntr. Pull from what employers actually list, then keep only what the specific job description names.

Core traits: communication (72% of postings), organizational skills (59%), attention to detail (33%), time management (25%), and multitasking (23%). Postings lead with these, so your summary and bullets should too.

Tasks: administrative support (28%), customer service (27%), calendar management or scheduling (22%), confidentiality (20%), data entry (18%), and travel coordination (9%). Each one is easy to attach a number to.

Tools: Microsoft Office (48%), Excel named on its own (15%), and Google Workspace (10%). Name the exact software you have used. Screeners match strings, not the phrase "proficient with computers."

How to use this: The resumes in our small interview group listed a median of 29 skills, spread across traits, tasks, and tools, and tailored to each posting. A list that names traits with no tools, or tools with no tasks, reads unfinished.

Action Verbs for Administrative Assistant Resumes

Coordinate: scheduled, coordinated, booked, arranged, managed. Use these where a count can follow: scheduled 120 meetings a month across 3 directors.

Maintain: tracked, reconciled, entered, audited, filed. These show accuracy: reconciled 250 invoices a month; audited 3,000 records at 99.8% accuracy.

Improve: cut, streamlined, reorganized, standardized, built. Pair with a before and after: cut file retrieval from 5 minutes to under 1; built a tracker that saved 6 hours a week.

The weak version of every admin bullet starts with "responsible for." The strong version starts with what you did and ends with a number a hiring manager can picture.

Turn a Weak Admin Bullet Into a Strong One

Weak

Responsible for answering phones, scheduling meetings, and handling office correspondence for the department.

Strong

Answered 90 messages a day for a 45-person division at an average response under 2 hours, and cut calendar double-bookings to near zero with a shared scheduling protocol.

Same job, better evidence. The strong bullet answers the questions a hiring manager actually has: how much, how often, and did it get better because you were there.

Administrative Assistant vs Executive Assistant on a Resume

Scope: an administrative assistant keeps a team or an office running; an executive assistant supports one or two leaders and stands in for their judgment on scheduling, spend, and access. Metrics: admin resumes count volume across the office, like appointments, invoices, and records; EA resumes lean on trust and discretion at the top, like confidential board prep and travel for a single executive. Narrative: if your bullets already show you protecting a leader's time and calendar, an EA title may fit the work better than the one you hold.

Get an Administrative Assistant Resume Through the Screeners

Most admin resumes meet software before a person. Keep your title standard (Administrative Assistant, not Office Ninja), spell out each tool the posting names (Microsoft Excel, Outlook, SharePoint), and mirror the exact skill words, since Excel and Google Workspace are string matches, not ideas. Run the posting through Huntr's keyword scanner to find the words you are missing, then let Resume Tailor work them into your resume where they fit. In our data, tailored resumes reach interviews at about twice the rate of generic ones.

Administrative Assistant Resume FAQ

How long should an administrative assistant resume be?

Two pages is safe. Almost every resume in our small interview group ran two pages or under, with a median near 1.9 pages. Cut filler, but never drop a role that shows office volume or a clean audit record.

What skills should I put on an administrative assistant resume?

Start from the posting. Across 3,530 administrative assistant listings the constants are communication (72%), organizational skills (59%), Microsoft Office (48%), attention to detail (33%), and calendar management or scheduling (22%). Name the exact tools you use and tailor the list to each job.

How do I write an administrative assistant resume with no admin experience?

Reframe what you already ran. Our interview group includes a former prep cook, a music educator, and a logistics planner who all reached admin interviews. Schedules, records, phones, and vendors show up in most jobs. Write those bullets with numbers, and a short certificate like Career Essentials in Administrative Assistance signals intent.

Do administrative assistant resumes need a summary?

It helps. Twelve of the 13 resumes in our interview group opened with one. Keep it to three lines: your level, your specialty, and one number that shows scope, like the calendars, invoices, or records you handle.

Methodology

The verified example is a composite of real resumes attached to jobs that reached the administrative assistant interview stage on Huntr. That group is small, 9 people across 13 resume versions, so we treat resume-level figures as directional and lean on the 3,530-posting sample for the skill percentages you see above. We swap names, employers, and schools for comparable real ones and check each swap against our database, so no example points to a real person. Where a composite blends several resumes we keep figures as written; where one resume anchors it we shift the numbers to nearby values. The interview companies we name are real and never changed.

The role-specific examples are models, marked as such on every callout, and they make no interview claim. Their skills come from the postings data above, and their shape copies what the verified example does well: one scope number in the summary, a count in every bullet, and tools an employer would recognize by name.

Conclusion

The competence of an administrative assistant lives in the calendar, the inbox, and the numbers on routine work, and the resumes that reached interviews put those numbers on the page. One scope line up top, bullets that count the appointments, invoices, and records you handled, tools named the way postings name them, and a length that fits the work. It does not take a fancy degree or a career that started in an office. It takes evidence.

Build yours in Huntr's resume builder, then run each application through Resume Tailor so the posting's words land in your resume.
