The Equipment Inventory Office (EIO)
Business Asset Accountant , reports to the Equipment Inventory Office Manager. This role is responsible for timely and accurate preparation of accounting, reporting, and analysis of fixed assets for the University. This includes various aspects of the capital asset lifecycle, such as proper accounting for the acquisition, depreciation, and disposal of capital equipment, projects, and intangible assets. Additionally, this position uses multiple systems for problem-solving, analysis, inventory, reconciliation, and interaction with auditors. The EIO Business Asset Accountant is an expert on GAAP & GASB policies on asset accounting and compliance with grant-funded asset tracking and accounting. This role is heavily involved in organization-wide asset processes, policy changes, and acts as a compliance officer for the campus to advise departments on operating in compliance with asset accounting for federal, agency grants, and state requirements. The Business Asset Accountant will be responsible for the analytical work underlying the production and review of the University’s financial statements as they pertain to fixed assets and their depreciation. They will also be responsible for analyzing data, triage, and developing solutions associated with the recording and reporting of fixed assets.
Duties & Responsibilities: Program Management and Analytics • Oversee departments to ensure proper titling, tagging, tracking, reporting, and disposal of assets in compliance with federal, agency, and state regulations
• Prepare and maintain documentation for annual State and Sensitive items inventories and audits.
• Generate, post and analyze monthly allocations for Capital Projects and Business Assets
• Ensure departmental processes and procedures comply with Federal, Agency, State, and Sensitive Inventories policies and guidelines
• Evaluate and approve equipment-related source transactions for asset acquisition and capitalization, including receipt of trackable items, supplier invoices, and project assets for asset registration.
• Assign asset accounting to assets, create asset accounting adjustments, transfers, disposals, and post journal entries as needed for accurate asset accounting
• Build and maintain positive relationships with state and various agencies on matters such as audits, reports, and equipment disposition
• Provide content & input regarding updates to departmental web pages
• Lead asset processes (including depreciation and reconciliations) for month-end process close
• Maintain documentation and records in accordance with the University of Washington’s retention policy
• Manage the Mobile Asset Scanning application to ensure accurate and timely Federal, Agency, State, and Sensitive Inventories
Campus Support • Advise and provide guidance to campus partners on accounting practices and compliance for equipment inventory; ensure compliance with accepted accounting principles
• Design and implement effective asset business process documentation and job aids
• Point of contact for evaluating requests for capital equipment purchases and asset tracking and accounting in Workday
• Create ad-hoc reports that help and train on equipment policy, procedure, and the Workday system for Asset Acquire to Retire lifecycle processes
• Outreach, collaboration, and support to department leaders across campus
Other duties as assigned • Directly contribute to the preparation and analysis of periodic dashboard measures related to capital asset reports
• Train and cross train staff within Finance, Planning, & Budgeting
Requirements: Bachelor's degree in accounting, finance, economics, or related field and 3 years of experience in accounting, finance, or related field.
Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for a degree.
Knowledge of accounting principles, procedures, audits, and internal controls
Familiarity with Generally Accepted Accounting Principles (GAAP) and Governmental Accounting Standards Board (GASB)
Demonstrated proficiency with Microsoft Suite such as; Microsoft BI Portal Reports, Excel, Word, Outlook, and PowerPoint.
Demonstrated experience in working on diverse groups and teams; respects, values, and contributes to FPB’s commitment to diversity, inclusion, and equity
Desired: CPA license or demonstrated progress toward CPA designation
Master’s degree in finance, accounting, or business
Experience in equipment purchases involving grants and contracts
Experience with Workday Financials
Knowledge of University policies and procedures relating to equipment and capital assets
Experience with Machinery and Equipment Sales Tax Exemption
Experience with Procurement Integrated Enterprise Environment (PIEE)
Experience documenting processes.
Experience with web development using Drupal
