The College of the Environment Finance and Accounting Service Team (eFAST) has an outstanding opportunity for a Fiscal Specialist 1. Do you want a role that involves engaging with Workday, a leading financial platform, which will offer insights into the intricacies of a new ERP system within the realm of higher education? Look no further than the newly formed College of the Environment Financial Shared Services Team (eFAST) which is moving out of start-up mode to maturity.
We are looking for a motivated and talented professional to join us as a full-time position. This entry-level position in the Dean’s Office allows candidates to gain experience with developing a shared service model, learn or strengthen skills using Workday Financials and ServiceNow (UWCONNECT), explore higher education administration, and work with a dynamic team during the University’s second year of transition from a 30-year-old financial system.
The Fiscal Specialist 1 will support the financial operations of the College of the Environment by processing daily requests for the acquisition of goods and services and supporting complex travel arrangements. This position will report to the Shared Services Supervisor and will provide support to both the procurement and supply chain pillar along with the Financial Reporting and Close Team.

A minimum of one day a week onsite is required during core business hours.
DUTIES AND RESPONSIBILITIES Cost Center and Account Reconciliation and Audit (Monthly) 40% • Ensure that monthly transactions are accurate and allowable per UW, State, and Federal guidelines.
• Provide Reconciliation documents in support of Budget Analysts, Budget Analysts Leads, and Finance Managers by reviewing budget expense items in Workday.
• Creating, organizing, and maintaining electronic financial records.
• Audit Revenue Transfers.
• Audit Expense Reports, Procurement Card Transactions, and other high-risk transactions.
• Perform Accounting Adjustments.
• Perform Shared Environment Reclasses.
Month End Close Activities 10% • Run Month End Close Reports to ensure that month end activity deadlines are met.
• Send Month End Close notifications to units.
Travel and Expense Activities 30% • Coordinate and manage complex travel, including supplies and travel-related expenses. Resolve discrepancies.
• Coordinate the management of travel arrangements of varying complexity-both domestic and international which include communication with foreign venues, trip sponsors, and external visitors using clear, appropriate, and time-sensitive communication.
• Prepare appropriate travel forms and contracts as needed.
• This position will provide guidance to faculty, staff and students regarding UW travel and expense procedures and guidelines; and provide fiscal and administrative services for a variety of funding sources as requested.
• Process employee reimbursement requests and travel reimbursements.
Procurement of Goods and Services 20% • Process Requests for Laboratory supplies.
• Advise labs and customers on best practices for the procurement of goods which include sole source justifications, procurement methods, and tax-emption qualifications.
• Process invoices for payment via Workday Financials.
• Update tracking systems for audit and quality assurance.
MINIMUM REQUIREMENTS Three years of fiscal record keeping experience, or equivalent education/experience
DESIRED QUALIFICATIONS • Ability to learn new systems and technology such as our new ERP system Workday with efficiency and respond to change.
• Provide excellent customer services to internal faculty/staff/students and external vendors.
• Willingness to learn new skills and develop leadership skills.
• Demonstrated knowledge of Excel to include the ability to create formulas, tables, and graphs.
• Demonstrated ability to establish and maintain a comprehensive record-keeping system.
