The Payroll Supervisor is responsible for all activities in the payroll department, including compiling payroll and benefits data, ensuring accurate deposits/filings, reviewing employee taxation, maintaining payroll system earning and deduction codes, and testing the system for updates and new initiatives. The Payroll Supervisor is also responsible for HRIS activities that are not automated and require manual input into the payroll and HRIS systems, as well as certain rate reviews of each payroll.
ESSENTIAL FUNCTION
- Compile payroll data, such as hours worked, taxes, insurance, and employee identification number from time sheets and other records.
- Record changes affecting net wages, such as exemptions, insurance coverage, and loan payments for each employee to update master payroll records.
- Record data concerning transfer of employees between departments.
- Prepare month-end, quarter-end, and year-end reports (including W-2s) of earnings, taxes, and deductions.
- Process Tax Balance Adjustments, Amendments and W2c's as needed.
- Register withholding/unemployment in new states & work with agencies/ADP on any issues
- Responsible for uploading/funding for wage garnishments w/in ADP system
- Keep records of leave pay and nontaxable wages.
- Prepare and issue paychecks.
- Maintain records for auditing purposes.
- Reconcile monthly, quarterly, and annual tax returns to payroll system, as well as GL reconciliations for the payroll tax liabilities.
- Assist with implementation/conversion/testing of new products, procedures, tax updates and system changes.
- Research wage and hour/tax laws as necessary.
- Process Equity, RSU and ESPP (employee deductions & ESPP reporting for purchase semi annually)
- 401K employee updates and preparing/uploading file to 401k to Fidelity, ACH request
- Respond to questions regarding timecards, paychecks and taxes in a timely manner.
- Communicate any changes to pay dates and bank holiday's, anything that could affect the processing timeline.
- Review and analyze personnel change requests for accuracy and proper authorization; research and obtain additional information when required.
- Responsible for all data changes to employee records in the HRIS systems.
- Responsible for the accuracy and integrity of employee records and data entered into PeopleSoft and SuccessFactors.
- Assists with internal audits/SOX compliance.
