Position Summary:MedscapeLIVE! develops and produces compelling live events in a multitude of therapeutic areas using a selection of tailored formats. You will be responsible for managing timelines, providing clear and concise communication, and organizing in-person and virtual events. You will need to deliver projects on time and within scope, and will serve as the main point of contact for all internal project stakeholders as well as clients. You should be a highly organized individual with the ability to prioritize and excel in a deadline-driven environment, as well as be adept at problem-solving, critical-thinking, and conflict resolution. What You’ll Do:
  • Manage short and long-term projects involving multiple team members representing different departments throughout the company, assuming overall ownership of client program success and execution
  • Manage and maintain client relationships through focused attention to detail, team leadership, concise communications, and a sense of urgency
  • Ensure projects are within scope and budget and remain on time according to our standard processes using our web-based project management tool
  • Maintain a comprehensive program tracking report to share with clients and internal teams on the status of their live events
  • Manage project kickoff, planning, and status meetings and provide ongoing updates to the project team and clients related to program goals, next steps, and status
  • Collect information and digital assets essential to the client and archive properly
  • Ensure delivery of all meetings in accordance with regulatory and client-defined compliance guidelines
  • Coordinate the meeting materials and provide logistics oversight, whether being onsite for content present in-person, or online for content presented virtually
  • Be the first point of escalation for internal teams for ongoing workflow questions and client issues
Who You Are:
  • Comfortable in a highly deadline-driven environment, and able to pivot quickly between tasks and adapt to rapidly shifting priorities
  • Resourceful, organized, detail-oriented, smart communicator, and a problem-solver
  • Someone who enjoys leveraging technology to contribute to the execution of projects, events, and more effective communication.
  • Independently motivated but able to foster positive team dynamics
  • Someone who has the ability to cover occasional evening or weekend events, and travel, as needed
Qualifications:
  • Bachelor Degree required
  • Minimum of four years’ progressively responsible project and process management experience required; within the healthcare environment or medical education environment strongly preferred
  • Prior experience in executing live or virtual events, ranging from small to midsize programs with a focus on pharmaceutical, non-accredited, promo events
  • Experience in an external client-facing environment
  • Highly professional, ability to work independently, and easy rapport in building collaborative work relationships
  • Outstanding time management and organizational skills and possess an eye for details
  • Ability to provide creative solutions independently or within a team dynamic as issues arise
  • Excellent verbal communication, writing, and grammar skills
  • Ability to work extended hours to meet clients’ business expectations, if needed
  • Experience with Medical Legal Regulatory (MLR) preferred
  • Above average ability to use Microsoft and Google Suite
  • Experience and/or technical knowledge with web-based document sharing sites, project management tools, video conference platforms, event management platforms, and intrateam communications tools; all a plus
  • Ability to travel 20-35% of the time

Salary Range: $60,000 - $70,000
