UW Facilities manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. Maintenance & Construction (M&C) is responsible for general maintenance, repair, and renovations of all University of Washington (UW) main campus facilities including building interiors, exteriors, and grounds, as well as logistics, moving, and disposal of surplus equipment and furniture.
We have an outstanding opportunity for a(n) Program Coordinator, Surplus Warehouse Operations .
Under the direction of the Program Support Supervisor for Auctions & Warehouse Operations, perform tasks associated with surplus warehouse operations, receiving, and auction sales.
Primary Duties and Responsibilities
Advise UW faculty and staff, government agencies, non-profit organizations, and the general public regarding the policies and procedures for disposal and acquisition of surplus property, suggest alternative when appropriate and ensure compliance with University policies and procedures, WACs, and RCWs with regard to the disposal and acquisition of state surplus property. Provide guidance on special handling procedures for laboratory equipment and hazardous materials when appropriate.
Receive, unpack, and sort incoming property. Load, unload, and distribute furniture, equipment, and materials. Inspect for condition, quantity, and type against shipping documents and resolve any associated discrepancies. Make inventory tags and determine disposition of property. Ensure property is correctly labeled, and properly dispositioned and described in the database.
Identify hazardous materials, such as sharps, chemicals, asbestos, lead, mercury, radioactive producing devices, lasers, etc. Follow handling and disposal guidelines; submit inquiries and disposal requests to EH&S. Coordinate the pickup of recycling and waste, including that which requires special disposal.
Conduct physical inventories as scheduled and/or directed. Perform ongoing audits of Surplus inventory. Prepare weekly, monthly, and annual inventory reports.
Receive, review, and process Surplus Property request forms. Review forms to ensure compliance with University rules and regulations. Advise faculty and staff regarding the status of pending request forms. Send out inventory tags to clients via campus mail. Monitor Surplus email account; promptly respond to customer inquiries and requests.
Determine appropriate storage locations and placement of property in warehouse. Maintain warehouse arrangement to maximize space utilization and accommodate all current and incoming property. Assure that property is appropriately stored, kept in good condition, and handled by following acceptable safety practices.
Safely operate material handling equipment, including forklifts, both within the warehouse and during property loading, unloading and relocation. Research and develop specifications and recommend purchases of equipment and supplies to support the receiving and warehouse functions.
Prepare online timed auction listings. Draft descriptions and photograph auction items. Research markets for specialized property; determine fair market values and set appropriate starting bids and reserves. Plan and establish timelines and work priorities for auction listings and ensure deadlines are met.
Conduct retail store sales of surplus property to University of Washington departments, state and local governmental agencies, non-profit organizations, and the general public.
Provide direction and assignments to Moving and Surplus staff working in Receiving as needed.
Create, improve, and maintain program procedures. Participate in organizational, division, unit, and work group programs and other business efforts to improve workplace practices and processes to add value to the services provided.
Provide coverage for other Surplus Program Coordinators during planned and unplanned absences. Assume higher level duties as assigned. Assist with special projects as assigned. Perform additional duties as assigned.

Requirements include:
• High school graduation or equivalent
AND two years of experience in auction coordination, warehouse operations/retail operations/materials management/inventory management OR equivalent education/experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Conditions of Employment:
Standard work schedule is Monday, Wednesday - Friday 7:30am to 4:00pm, Tuesday 8:00am to 4:30pm.
• Flexibility of schedule is required in order to meet operational needs.
• Work is normally performed in an interior warehouse environment and an interior office environment.
• However, work may include outdoor work with exposure to the elements and variable weather conditions.
• Substantial footwear is required and must be worn with operating material handling equipment and/or moving materials and must be provided by the employee.
• Ability to lift / move up to 50 pounds unassisted and ability to lift /move 50-100+ pounds with assistance.
• Work requires walking, lifting, bending and standing for long periods of time.
• Must be able to work in a non-smoking environment.
• Regular and predictable attendance is required
