Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S.
Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education. The Procurement team is a new department within the National Office whose guidance and goal is to provide transparency into the purchasing logistics across the organization. The Procurement team will provide access to organization-wide procurement habits and insight into the budgeting of spend.
Purpose: Reporting to the Director, Procurement, the Associate Director assists the Procurement team with the continuation of the implementation of the Procure to Pay system (Coupa), administers RFx processes, assists with vendor management (including onboarding and partner intake for new Business Partners) and otherwise supports the broader efforts of the Procurement and Travel Department. This position will be heavily focused on contract negotiation, management, and administration, including the contracts in the current Contract Life-Cycle Management System (K), as well as managing the transition from K to the Coupa CLM. The Associate Director will assist in creating new processes for procurement lifecycle processes through contract management.
Delivery: Working under the direction of the Procurement Director, the Associate Director adapts to changing demands and shifting priorities, always with a view to delivering high-quality service and products. The Associate Director: ●Initiates and follows through the project from initiation of purchasing inclination to resolution of service or material receipt ●Assists with the Risk Assessment of all new Procurements and flags important issues and potential legal risks with contracts for General Counsel (OGC) Leadership review. ●Assists Procurement Team as well as OGC by reviewing draft contracts and contract edits, which may include third-party agreements, grants, sponsorship agreements, licensing agreements, commercial co-ventures, media releases, NDAs, trademark filings, intellectual property licenses, and related legal documents. ●Partners with the Procurement Team as well as the Finance and General Counsel Leadership on client management to ensure the progress of a variety of types of contracts through negotiation, drafting, review, approval, and execution stages; this negotiation and administration will be done via the Coupa Software system ●Assists Procurement Team in drafting/editing forms, templates, and agreements, as needed. ●Will provide the Procurement team with training programs and guidance to program staff, including collaborating on training materials. Training in the Procure to Pay system and the Coupa software will require training across the organization ●Supports Procurement team in the administration of purchasing best policies, including RFx efforts, vendor support, and administration of Procure to pay policies and procedures. ●Supports Procurement team in compliance efforts and anticipates client’s purchasing needs. ●Ensures requisitions comply with policies and internal clients make consistent use of forms, templates and policy terminology ●Coordinates Procurement processes from initial determination through successful receipt of goods/services
Engagement: ●Delivers high-quality products and positive, professional client service by adapting to urgent deadlines, changing demands, and shifting priorities. ●Assists Procurement team Leadership to ensure that the team, under the umbrella of Finance continues to be a trusted partner among organizational clients. ●Represents Procurement, Contracts Negotiation, and Supplier Onboarding at external and internal meetings, conferences, and internal training as new processes are established ●Delivers training on the Coupa Procure to Pay and Contracts system and PPFA’s Procurement policies in any number of channels, including live training sessions, assisting with the creation of training materials, communicating processes and policies across the organization and working with PPFA’s external business partners to ensure our BP relationships are appropriately supported ●Manages and provides leadership to a team of contract managers ●Works closely with clients from other departments and organizational units. ●Works with other departments, vendors and stakeholders to complete due diligence.
Knowledge, Skills and Abilities (KSAs): ●Bachelor's degree or J.D. preferred ●Minimum of 4 years of experience with direct responsibility for contracting and/or Purchasing experience ●Experience in administration of procurement procedures and RFx experience is required ●Experience working with staff at all levels of the organization as well as vendors, consultants, and outside counsel to manage procurement transactions ●Demonstrated client service and its successful outcomes ●High proficiency in Word, Excel, Google for Business, word processing, database and process management systems ●Ability to meet deadlines, prioritize, multi-task and adapt well in a fast-paced, rapidly changing environment ●Talent for organization and efficiency ●Excellent communication (oral/written) skills and interpersonal skills ●High ethical standards and a commitment to advancing the organization’s mission Travel: As needed. $118,000 - $128,000 a year Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
