Job Description

Laserfiche is hiring a Billing Specialist who will play a crucial role in our finance department, collaborating closely with customers, Sales, and Customer Success Management (CSM) teams. The primary responsibilities of the Billing Specialist include: quoting and invoicing for new expansions, and renewal orders, as well as supporting accounts receivable functions. Successful candidates will be confident in their billing responsibilities, adept at working with billing platforms such as Zuora and Salesforce and possess strong analytical and communication skills.

Location:

  • Two days/week work from office – Long Beach, CA
  • Work from home on Mondays and Fridays

About the Role - Essential Functions:

  • Review and convert quotes to orders for customer confirmation of reseller accounts
  • Upon PO receipt, create invoices for billing of reseller customers
    Provide new, expansion and renewal quotes for Production/Licensing Team and Special-Order Desk (SOD) approvals
  • Review and confirm auto-renewal invoices are accurate prior to billing; maintain auto-renewal page by reviewing and approving renewal quotes, as needed
  • Apply price adjustments and/or discounts as requested and approved by SOD or management
  • Communicate with customers via email
  • Attend weekly and monthly meetings to discuss open items, customer account concerns, collections, or system issues
  • Assist with cross-training or new employee training as the need arises
  • Work with A/R team to assist with reporting and analytics for going concern account
  • Flexibility to work international hours to support Ireland Office, and Hong Kong Order Desk, as needed
  • Proactively identify and communicate ways to improve our billing operations and order management system by reporting issues and making suggestions to Sr. Billing Supervisor
  • Other duties as assigned

About You - Essential Qualifications:

  • Fully knowledgeable and confident on all billing responsibilities, policies and procedures, including understanding of basic accounting rules and regulations and the policies and procedures of the finance department
  • Fully capable of processing billing of new, expansion and renewals for the following products/transactions:
    • Perpetual Licenses
    • Subscription
    • Cloud
    • LSSP
    • Upgrades and Downgrades
    • System and SKU migrations
    • SP Transfers and Terminations
  • Fully knowledgeable and confident in all billing platforms, to include Zuora, Salesforce
  • Adept at picking up new systems quickly (OMS, Helpdesk, Support Site, ACS, Laserfiche)
  • Strong written and verbal communication skills – able to work effectively in hybrid environment
  • Strong conflict resolution with regard to customer billing issues/concerns
  • Analytical skills and excellent problem-solving skills a must
  • Must be detail oriented with ability to prioritize and organize efficiently
  • Understanding of accounting software basics, and proficiency in Microsoft Office, specifically, Excel, required

Education and Experience:

  • Associate Degree in Accounting, Finance, Business Administration or Sales Communications required; bachelor’s degree preferred
  • At least three years of relevant experience (SaaS Billing, A/P or A/R)
  • SaaS experience required

The salary range varies, and pay is based on several factors including but not limited to education, certifications (if applicable), candidate's geographic region, job-related knowledge, skills, and years of experience among other factors.

$60,000.00 - $75,000.00
