We're based in Tigard, Oregon and are the largest trading card marketplace in the world. PWCC is brokering nearly a half-billion in trading card sales annually (and you thought those baseball cards in your mom's basement were worthless!), with the goal of becoming the go-to resource for trading card research, investment, and protection. We are growing rapidly and need the right person to expand our team and help us provide the care our client base needs. POSITION OVERVIEW PWCC’s continued growth has brought us a unique opportunity to join our team as our Office Manager . Reporting to the Information Technology Manager, the Office Manager is responsible for performing a variety of duties and responsibilities in support of the company’s general office needs, such as ordering supplies, stocking food and maintaining common areas. The ideal candidate takes initiative, is highly organized, who jumps in to assist others when needed and has excellent interpersonal and communication skills. This role will work closely with members of the HR and Facilities departments as well as all members of PWCC to ensure office needs are being met. The role is on-site, based in our Tigard, OR office, and will support four current offices in the immediate vicinity, with potentially two more in the next eighteen months. POSITION RESPONSIBILITIES: •Performs and manages general office tasks. •Serves as the point of contact for new hires and other visitors in the office. •Greets customers, vendors, job applicants, and other visitors, escort visitors to their designated areas when necessary. •Reserve and manage (compliance / quality) collaborative spaces and conference / meeting /training rooms; reset collaborative spaces for next use. •Assist company officers with travel bookings and coordinate scheduling tasks. •Coordinates food orders and pick-ups for business meetings. •Maintains inventory and stocking of office and cleaning supplies. •Manage and order office and logistics supplies across departments (via Uline, Office Depot, et al). •Manage and stock office food, loads refrigerators onsite, cleans out refrigerators monthly. •Maintains and enhances kitchen duties throughout the day, including, but not limited to, wiping down counters and unloading the dishwasher as needed. •Participates in the planning, organization, preparation, and cleaning of team building events. •Issue work tickets for maintenance requests and tech issues relating to the scope of services. •Oversee daily work order review; follow up on contractor work orders to ensure successful service delivery. •Maintain working relationships with in-house and local catering companies for services in the conference rooms or request by PWCC staff. •Maintain database on local restaurants, hotels, car services, and area amenities. •Provide shipping & receiving services; assist in prepping any outgoing packages. •Verifying the accuracy of deliveries for count, pricing, and description. •Coordinate and assist office moves with facility and IT management on a request basis. •Participates in the creation and organization of special and team building events from planning, preparation, execution & cleaning. •Continuously evaluates and improves employee and visitor experience. •Ensures office policies are being followed and updated as needed. •Additional duties as assigned. QUALIFICATIONS: •1-year minimum experience in an office administration role preferred. •Valid Driver’s license. •Demonstrably self-motivated, team player with excellent people skills Can-do attitude. •Demonstrated planning, organizational and time management abilities. •Meticulous attention to detail. •Exceptional written and verbal communication skills. •Proficient in the latest versions of Microsoft Outlook, Word, and Excel software. •Proven track record of functioning effectively, adapting appropriately, and working independently in a fast-paced environment with competing demands on time and priorities. •Proactive critical thinker and problem solver. •Proven capacity for discretion handling confidential information. •Must be able to lift up to 25 pounds at times.
