Planned Parenthood Federation of America (PPFA) is a 501(c)(3) charitable organization that supports the independently incorporated Planned Parenthood affiliates operating health centers across the U.S. Planned Parenthood Action Fund is an independent, nonpartisan, not-for-profit membership organization formed as the advocacy and political arm of Planned Parenthood Federation of America. The Action Fund engages in educational, advocacy, and electoral activity, including grassroots organizing, legislative advocacy, and voter education. Planned Parenthood Federation of America (PPFA) seeks a Director, Operations. This job reports to the Senior Director, Affiliate Resource Team, on the Federation Leadership & Engagement Team in the Federation Engagement & Impact Division of PPFA. Purpose: The Federation Leadership & Engagement Team at PPFA has an opportunity for a Director, Operations to join the Affiliate Resource Team in the Department of Federation Leadership & Engagement. The Affiliate Resource Team (ART) is a multi-disciplinary team consisting of subject matter experts who have expertise in affiliate communications, clinical operation, financial and operational technical assistance. The Director provides consulting, technical assistance and facilitation in response to post-accreditation support, and crisis support for brand risk situations (including patient safety and financial distress). The Director has expertise in the areas of operations, patient and staff experience, clinical productivity analysis, practice management, customer service, and coordinates their efforts with other team members for engagements. The Director will assist in the development of implementation plans and the development of tools, and provide systems for affiliates to promote best practices in operations areas, working under the leadership of the Senior Director, Affiliate Resource Team. The Director will lead and serve as part of the team offering consultative support to Planned Parenthood affiliates for the above areas. This position will partner with other PPFA internal and external stakeholders (e.g. Affiliates Risk Management Services (ARMS), and other external consultants). Delivery: The Director, Operations will be responsible for supporting affiliates in coordination with the efforts of other team members to provide consulting, post accreditation technical assistance, to affiliates in the areas of operations, scheduling, clinical productivity analysis, practice management, and customer service. In addition, the Director works closely with other PPFA subject-matter experts to ensure alignment around affiliate-specific work. Working under the leadership of the Senior Director, Affiliate ResourceTeam the Director will: ●Provide technical assistance and consulting to affiliates to improve risk management on all aspects of clinical operations, including best practices in health center design, scheduling, staffing, customer service, to support affiliate post-accreditation or during an event where risk has been identified. ●Support a framework for creating organizational structure and management ●Provide standardization and consistency for processes across the organization ●Support continuous quality improvement efforts ●Provide expertise and leadership to affiliates around sustainability planning, building programming, and operational improvements. ●Coordinates with Information Services, DSAG, Better Health, and data analysts to troubleshoot any questions or issues related to the use and governance of data. ●Contribute to the development of best practice tools for affiliates to monitor and analyze operational costs, capacity, productivity and viability. ●Collaborate with and support other National Office programs and projects as needed. ●Work collaboratively with affiliate leadership to support the strategic and operational objectives. Identifies best practices, both through internal and external learning and investigation, and translates these best practices to the team for incorporation into project work. Adjusts approaches to reach desired outcomes. ●Keep current with the Accreditation Indicators and EOP's in order to help affiliates meet these standards and to be consistent with other departments at PPFA in the guidance provided to affiliates. ●Stay abreast of relevant operational and healthcare trends. ●Provide consultation to address critical issues. Provides management with recommendations and strategies to enact sustainable change. ●Carry out other assignments or special projects as assigned and required. Engagement: This position is highly collaborative and serves as a critical link between the PP national office and local affiliates leveraging national resources to ensure best practices in clinical operations while keeping the national office engaged in local priorities, needs, and activities. The work will focus on building deep relationships with affiliate leaders, as well as remote and onsite technical assistance to improve efficiency. ●Supports affiliates in identifying operational barriers, including critical issues that affect the affiliates' financial or operational well-being. Involves or collaborates with national office experts from other functional areas as needed. ●Keeps current with established PPFA metrics, Elements of Performance (EOPs), and the Medical Standards and Guidelines in order to help affiliates meet these standards and to be consistent with other departments at PPFA in the guidance provided to affiliates. ●Keeps abreast of relevant operational, non-profit and healthcare trends. ●Has familiarity and experience working with the diverse communities Planned Parenthood serves, including an appreciation for the assets of each community and understanding of the institutional barriers to health care that currently exist. Knowledge, Skills and Abilities (KSAs): ●A minimum of 10 to 12 years experience; preferably related to non-profit healthcare, healthcare consulting, healthcare operations, or related clinical management services. ●A minimum of three years experience working at a PPFA affiliate is desirable. ●Bachelor’s Degree or equivalent experience with additional related college courses or professional training in business administration, public administration, public health, or related field. ●MBA, MPA, or MPH a plus ●Understands and is able to articulate the complexity and impacts of the changing political landscape in the provision of abortion care ●Expertise in managing complex partnerships with strength in managing conflict and crisis and a demonstrated ability in building, developing and maintaining strong working relationships with a diverse set of colleagues. ●Expert project management and business analysis skills with the ability to identify priorities and goals, meet deadlines, provide progress reports, and develop tactics for addressing issues or requests. ●Expert skills in writing, public speaking, facilitating, financial analysis, operation analysis, and metrics development. ●Advanced knowledge of medical practice management including optimizing workflows, patient scheduling staffing requirements, clinical quality indicators, and patient and staff experience ●Has a strong race equity lens and experience in program design, decision, and engagement. ●Knowledge of diverse groups, experience working with a multicultural workforce, and sensitivity and appreciation to cultural differences is required. ●Experience with managing changes in health care operations as a result of public policy at the federal, state, and local level. ●Ability to recognize and respond to problems with potential solutions and facilitate negotiations for solution-oriented agreements in a highly professional, confidential, and sensitive manner. ●Gravitas paired with impeccable judgment, professional integrity, and ambition to effectively represent and promote PPFA externally at the highest levels. ●Must have the knowledge, skills, and abilities to work independently, as well as collaboratively with other team members, affiliate partners and PPFA staff. Embracing the ITT values of the organization, has a “we jump in” attitude towards their work with affiliate partners. ●Must be able to motivate and lead teammates and colleagues who are not direct reports and across divisions, organizations, and geographies. ●Proficient facilitator and communicator with assessment and analytical skills that allow effective coaching and strategic consulting. ●Ability to travel extensively to support specific, time-limited work as appropriate based on external environmental factors. Other Requirements: ●Passionate about the mission of Planned Parenthood and the role of health provision and advocacy. ●Discretion and diplomacy is a must. ●This position will need to respond to the needs of a fast-paced operation. ●Self-starter with a high level of creative initiative. ●Sense of humor. Travel: 25% | Travel throughout the federation and national meetings/conferences as applicable. $120,000 - $130,000 a year Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
