The Role Veeva is looking for a Payroll Manager to join the European Payroll team. The ideal candidate will be a strong people leader, passionate about developing people, motivated, disciplined, and a problem-solver, with strong communications skills and an excellent customer service approach. The position requires strong analytical skills and the ability to handle extensive coordination across multiple internal customers and third-party payroll service providers in many different countries.

What You’ll Do

    • Management of external payroll vendor services in EMEA to ensure timely, legally compliant, and accurate processing of payroll across all European locations
    • Preparation of monthly payroll input reports for submission to the outsourced payroll providers
    • Review of external payroll vendor- prepared output reports for completeness and accuracy
    • Arrange payroll payments
    • Management and mentoring of the EMEA Payroll Team
    • Liaise with EMEA Stakeholder groups on payroll-related topics
    • Management of monthly/annual returns and other statutory filings as they relate to payroll taxes, and benefits
    • Ensure all stock compensation-related information is processed correctly through the relevant country payroll. Ensure all tax/reporting requirements relating to Stock Options and Restricted Stock Units are dealt with in a timely manner
    • Timely management of and response to queries from the payroll providers or employees
    • Identify and drive the execution of projects/initiatives to improve the efficiency and effectiveness of payroll processes
    • Ensure leave balances are accurately recorded and reported
    • Create and maintain control documentation, process flows, and procedures in conjunction with Corporate payroll policy and procedures
    • Ensure compliance and control risk within the payroll function by continuous regular review of payroll procedures
    • Assist accounting team with month-end payroll activities - preparing journals, accruals, and variance analysis for the EMEA Veeva subsidiaries
    • Responsible for all audit-related activities for the payroll processes, especially maintaining SOX documentation
    • Ad hoc administration is required on a monthly and annual basis

Requirements

    • Degree in Accounting, Finance, or another business-related field
    • 5+ years experience in payroll management for 800+ employees in a multi-national environment
    • Demonstrated strong verbal and written communication skills in English
    • Acts with a strong sense of urgency and the ability to work well under pressure
    • Possess a collaborative mindset
    • Good working knowledge of the operation and tax treatment of Restricted Stock Units and Stock Options
    • High-level experience in UK and Ireland payroll processing with a good working knowledge of Spanish, French, and German payroll
    • IPASS qualified preferable
    • Excellent Excel skills and computer literacy
    • Strong organizational skills with meticulous attention to detail
    • Strong customer-orientated attitude
    • Tact, diplomacy, discretion, and the ability to appropriately manage confidential data
    • Strong drive to deliver good service and results
    • Must have a European/Global mindset; sensitive to cultural diversity

Nice to Have

    • Experience with global payroll applications
    • Familiarity with HRIS platforms
    • System implementation experience
