UW Medicine is a complex Academic & Safetynet organization comprised of 7 entities, including: UW Medical Center (UWMC), Harborview Medical Center (HMC), Valley Medical Center (VMC), Airlift Northwest (ALNW), UW School of Medicine (SOM), UW Physicians (UWP), and UW Neighborhood Clinics (UWNC). UW Medicine also has strategic partnerships with Fred Hutch Cancer Center (FHCC) and Seattle Children's Hospital.
The OPERATIONS MANAGER, ENTERPRISE REVENUE CYCLE is a key member of the Enterprise Revenue Cycle (ERC) team. This role reports to the Associate Vice President of Enterprise Revenue Cycle. ERC is accountable for Revenue Cycle operations and performance across the majority of UW Medicine. The ERC Operations Manager has accountability and oversight for administrative operations for all departments in within Enterprise Revenue Cycle, including budget management, reconciliation and reporting, Human Resources, administrative policies and procedures, Executive Leadership support, supervision of central administrative employees, and alignment of administrative functions across ERC.
The position requires cross-functional collaboration with key areas across UW Medicine, including (but not limited to): Information Technology, Finance, Human Resources, Employee Health, department leaders, and University Upper Campus. UW Medicine operates in a complex business and technical environment that is innovative and dynamic with a high degree of ambiguity. This candidate must be able to communicate effectively across various perspectives, experiences, and knowledge bases, and must take initiative, and be proactive in their approach.
DUTIES (include but are not limited to):
FISCAL RESPONSIBILITIES :
  • Management and reporting for all ERC budgets.
  • Track and monitor all vendor contracts, renewal dates, open invoices and support negotiation of annual renewal terms and rates.
  • Train staff and leaders on appropriate financial management process and systems, monitor ongoing training needs in this area.
  • Facilitate Fiscal year budget process, including allocations, expense transfers, validation of baseline performance, research and education around changes, etc.
    HR PROCESS MANAGEMENT
  • Track all open positions and manage recruiting process.
  • Screen candidates, perform initial screenings, schedule interviews, coordinate panel interviews, check references, etc.
  • Manage HR operations: maintain personnel records, timekeeping, ensure division compliance requirements are achieved, onboard new staff.
    DIVISION POLICIES & PROCEDURES
  • Collaborate with ERC department resources and leadership team to develop and maintains policies and procedures for areas of operational accountability, including pro-card, travel, reimbursements, credentials, services, supplies and equipment, emergency response, and general office operations.
    SECURITY AND OPERATIONAL LIAISON
  • Manages ERC technical support needs, including equipment standards, replacement timelines, and coordination with ITS.
    SUPERVISE EMPLOYEES
  • Establish rhythm of business calendar, work priorities and deadlines across division.
  • Utilizing office management tools and resources (such as LEAN) to ensure operational efficiencies and standards across division.
  • Conduct regular staff meetings and on-going training within the division.
  • Contribute to employee annual evaluations.
    EXECUTIVE LEADERSHIP SUPPORT
  • Function as a member of the ERC Leadership team, maintaining appropriate confidentiality.
  • Research, collect, analyze data and oversee support of AVP and Sr. Leadership, preparing presentations, charts, spreadsheets or other documentation as required.
  • Plan and support division retreats, meetings, and conferences, managing assigned support staff as appropriate.
  • Track and report project status, review updates, monitor milestones, open issues, risk mitigations, etc.
  • Assist AVP in daily needs.
    REQUIRED:
  • Bachelor’s Degree (BA or BS) in business, finance healthcare, or a related field.
  • 5 years’ experience in a complex academic, research, healthcare or governmental setting, or an equivalent combination of education and work experience.
  • Excellent verbal and written communication skills, with employees, medical staff, board members and external parties; and ability to develop presentations and messaging for targeted audiences.
  • Advanced working knowledge of MS Office suite, including Teams, Visio and Project.
  • Working knowledge of financial and/or budget management.
  • Ability to build relationships and collaborate effectively in a team environment.
  • Ability to exercise independent judgement and make appropriate decisions, considering relevant facts, stakeholders, risks, overall goals, and when escalation is needed.
  • Ability to maintain strict confidentiality.
  • Detail-oriented and independently motivated.
    DESIRED:
  • Advanced degree in business, finance, or a healthcare related field.
  • Demonstrated working knowledge of Revenue Cycle Operations in a healthcare environment, including both hospital and physician settings.
  • Experience with change management, project management, and rapid process improvement
  • Knowledge of medical terminology.
  • Ability to create collaborative work environment with multiple stakeholders in dispersed locations, including at home workforce.
    CONDITIONS OF EMPLOYMENT :
  • This positions is primarily remote, with some exceptions related to departmental and organizational needs.
