Job Summary

As the Office Manager for International Tax, you will provide office management expertise to the Vice President of International Tax and the wider Comcast tax teams in the UK. You will be an essential member, ensuring the whole teams is successful when it comes to the office-space operations.

Job Description

As the Office Manager for International Tax, you will provide daily office administration support to the Vice President of International Tax and wider support to the Comcast UK based tax teams aligned to both Sky and NBCUniversal International on numerous and varied ad-hoc projects.

You will be a fundamental member of the International Tax team who are based in London, Scotland, Germany, Italy and the US; and will be involved in the day to day communication with external clients and internal stakeholders from across multiple business divisions.

While you're a team player, you would also have the ability to work with substantial independence and initiative - dealing proactively and confidently with a range of professionals across the business, tasks and situations. You will be juggling multiple priorities and enjoy working in a fast-paced environment and you will have excellent organisational skills.

You will be reporting 3x per week in the office. We are flexible to accommodate you in either Osterley, West London or Tottenham Court Road, Central London.

Administrative Responsibilities

  • Proactive calendar management, including coordinating internal and external meetings, conference calls and video conference with multi countries.
  • First point of contact on all external matters including call screening, processing mail/post, meeting requests etc. including receiving and attending to visitors and to be available prior to any meeting or visit to ensure all logistic and documents are prepared if required.
  • Preparation and processing of expense reports ensuring timely repayment to corporate credit cards.
  • Receive and prepare documentation for approval by VP, ensuring a constant and smooth communication flow including tracking of purchase orders.
  • Manage and update contact databases, filing and any other systems as required.
  • Other ad-hoc duties as and when required
  • Building strong relationships with all levels across the entire Group and key external stakeholders, both in the UK and internationally. Key relationships for this role will be with EA/PA’s across the business.

Project Support

  • Providing essential support on various projects, including preparing PowerPoint and other presentation materials, preparing and integrating financial data into presentations.
  • Supporting the team on complex projects, ensuring management of scope is clearly defined and securing collaboration of relevant project stakeholders.
  • Helping the VP to manage project schedules and meeting project timelines.
  • Contribute to the continuous improvement of departmental processes and procedures.

Systems Management

  • Ability to use database systems to run reports and extensive knowledge using SharePoint
  • Experience using Oracle, CIFA, SAP, SNAP, Condeco to raise PO’s, submit expenses, and to book travel.


Travel

  • Arranging all travel and bookings, including detailed itineraries and document preparation.
  • Coordinate International and Domestic travel arrangements and schedules for the Team
  • Coordinate and schedule meetings/social events during markets
  • Event management - sourcing suppliers, venues, booking accommodation, negotiating competitive prices to work within set budgets.
  • Must be flexible to visit London offices in Osterley and Tottenham Court Road to support the wider team.

Budget & Technical support

  • Extensive knowledge and understanding of the internal budget process, supporting the VP International and Head of Tax to manage tax budget on an annual basis
  • Experience or background in Finance is an advantage but not a strict requirement
  • To take ownership of all invoicing and vendor management processes
  • Experience in Oracle and SAP is essential.
  • Provide support and work alongside the tax technical team on various tax filings including corporate tax and VAT returns, withholding tax and certificate of residency forms.
  • Relevant tax training and support is available as required


Qualifications

  • Previous experience as an Office Manager with excellent administrative and interpersonal skills
  • Highly skilled in Excel, PowerPoint, Outlook and Word – producing Excel tables/reports and PowerPoint presentations
  • Exceptional Organisational skills essential and extremely detail focused.
  • Good project management - ability to drive projects through to completion, anticipating next steps and preventing problems
  • Able to plan and prioritise a busy workload, with strong sense of own initiative in a fast-moving environment to very tight deadlines.
  • Able to manage pressure and conflicting demands
  • Ability and willingness to learn new computer systems. Experience in generating data driven reports and database management a plus.
  • High degree of integrity and ability to deal with sensitive and confidential information in a discreet manner
  • Reliable, proactive and solution-focused individual with a positive can-do attitude
  • Excellent verbal and written communication

Education

Bachelor's Degree

While possessing the stated degree is preferred, Comcast also may consider applicants who hold some combination of coursework and experience, or who have extensive related professional experience.
