About the role:
Join Takeda as an Operations Manager, Medical Grants and Sponsorships where you will develop and implement the operational strategy for the management, review and approval of medical grants and sponsorships to meet the needs of the USBU. You will also design and implement process and/or system changes to meet operational strategy. As part of the US Medical team, you will report to the Head of HCP/HCO Engagements. This is a hybrid role based in Lexington, MA.
How you will contribute:
- Develop and and monitor KPIs and metrics for medical grants and sponsorships.
- Coordinate across multiple functions to ensure clear SOP/policies are both in place and can be followed/met from a system and process perspective.
- Interact with key internal stakeholders, which may include members of the assigned US Medical Unit(s) including Medical and Scientific Directors, and other functional medical partners such as E&C, IT, Finance/AP, Project Managers and Legal, as well as Global functional groups.
- You will liaise directly with key vendors.
- You may partner with external key stakeholders such as IME providers, Grant requestors and professional societies.
- Manage and were needed, redesign/enhance end to end medical grants and sponsorships processes to ensure effective and efficient operational support and SOP compliance from submission to activity reconciliation.
- Define and track performance against key metrics, and ensure all Medical Grants and Sponsorships are documented, aligned with relevant guidance and managed efficiently.
- Execute projects, system upgrades, and process improvements pertaining to above activities.
- Lead a team of coordinators/specialists/external consultants responsible for grant operations.
- Ensure compliance to all appropriate SOPs, guidelines and standards from the Accreditation Council for Continuing Medical Education (ACCME) and other healthcare professional education accrediting bodies, government agencies (FDA, OIG, and state reporting laws), industry organizations (PhRMA), and Takeda's Ethics and Compliance Department.
- Implement new systems to support developing processes.
- Monitor operational performance concerning goals and delivery of services to internal and external customers and identify areas for development and process improvements
- Oversee the daily operational and project management activities related to the educational grant and medical affairs sponsorship processes ( i.e., intake, review, tracking, change of scope, reconciliation, closeout and reporting processes) recommending enhancements to processes as identified.
- Ensure compliance to all appropriate SOPs, guidelines and standards from the Accreditation Council for Continuing Medical Education (ACCME) and other healthcare professional education accrediting bodies, government agencies (FDA, OIG, and state reporting laws), industry organizations (PhRMA), and Takeda's Ethics and Compliance Department.
Minimum Requirements/Qualifications:
Required:
- 9-11 years experience in grant operations within the pharmaceutical or biotech industry.
- .Knowledge of and experience with legal and regulatory guidelines associated with independent medical education, pharmaceutical industry research and publication guidelines.
- Demonstrated ability to manage multiple projects, timelines, and deliverables. Proactively identify, communicate and resolve project issues.
- Understands finance principles and applies them in managing project and therapeutic area budgets
- Experience with various grant management systems within the pharmaceutical or biotech industry.
- Experience with enhancement and upgrades of grant/request management systems and the principles surrounding their user acceptance testing.
- Ability to articulate technical and scientific information in a concise and clear manner with internal and external stakeholders
- Proficiency using Microsoft Word, Excel PowerPoint, and Project Management software
Preferred:
- Degree in a health sciences or education related field (i.e., Bachelors, PhD, PharmD, NP, PA, RD, MPH, MsEd)
Travel Requirements
Ability to travel to various professional meetings, conferences and client sites – limited overnight. Some international travel may be required.
