The Opportunity

As a Workplace Operations Coordinator, you will be responsible for ensuring a seamless and positive onsite experience for all CZI Employees, Contingent Workers and guests. You will be supporting general day-to-day office operations and will be responsible for managing office reservations (for Desks and Conference Rooms), move management, maintaining accurate/updated records, and people operations support.

We’re looking for an excellent team player, who will closely collaborate with REWF (Real Estate, Workplace & Facilities) colleagues to ensure operational excellence in all services, programs and amenities provided at our Redwood City office(s). Applicants must have strong communication skills, be able to work independently and solve problems creatively.

You will

  • Implement onsite workplace operations policies and programs with detailed precision and excellent customer service
  • Manage our CAFM/IWMS systems in collaboration with the Workplace Operations Lead to ensure systems are accurate and up to date
  • Maintain interior signage program (i.e. Feature Walls, Digital displays, Wayfinders, etc.) ensuring signs are in working order and up-to-date with current content/policies
  • Coordinate and support onsite Moves, Adds, and Changes projects
  • Act as POC for onsite FF&E deliveries/installations
  • Collaborate cross functionally with REWF colleagues, providing coverage if/when needed
  • Regularly engage with various internal and external partners as a representative of the Workplace/REWF Team
  • Coordinate and execute ad hoc support for events, projects, and other internal CZI affairs

You have

  • 2+ years experience as a Workplace/Project/MAC Coordinator or Office Manager
  • Self-starter with excellent time management skills
  • Strong interpersonal skills and clear communicator
  • Excellent attention to detail and follow-through
  • Responsible and conscientious decision-maker with integrity, excellent judgment, and respect for confidentiality and ethics
  • Experience working with CAFM/IWMS preferred
  • Patience, flexibility and adaptability: the ability to react positively and quickly to last-minute changes in logistics or needs; comfort with ambiguity and working in a fast-paced, start-up culture
  • Technology-proficient; comfortable communicating virtually and learning new tools
  • Experience with Microsoft Office, GSuite, JIRA, and Salesforce is a plus; able to navigate or learn other platforms as needed
  • Coworking/Shared Workspace background preferred
