Job Description

KPMG is currently seeking a Executive Assistant to join our Birmingham Office.

Responsibilities:

  • Deliver hybrid responsibilities, which include but are not limited to about twenty percent for office services, which will require presence in local and client offices
  • Provide administrative support to include arranging travel plans and meetings; interact and liaise with members of the functional team, management and external clients and handle confidential information
  • Utilize clients and markets tools for research and reporting on clients or targets; participate in account planning meetings and calls; enter and update client relationship management opportunities, contacts, activities and entities
  • Manage calendar and email activities and coordinate and schedule meetings; draft email correspondence; set up and manage video meetings and conference calls; attend and participate in BU, practice and engagement team meetings
  • Create and manage team SharePoint sites; onboard new engagement team members; procure technology and equipment for new team members; assist with CPE tracking and mandatory training schedules; communicate with risk management for engagement codes and/or clarifying addenda; coordinate timely deliverables and graphic design support
  • Collaborate with OneStopOps for mail and supplies; arrange domestic and international travel; process time and expense reports and reconcile company credit card purchases; responsible for project work that includes creating, editing and updating presentations and spreadsheets, as required

Qualifications:

  • Minimum two years of recent administrative and/or customer service experience; professional services environment preferred
  • High School diploma or equivalent; completed coursework from an accredited college/university preferred
  • Strong analytical skills and ability to understand process and procedures; ability to adapt to and support change; effective written and verbal communication - must have consistent, clear, concise and articulate communication skills; deliver exceptional administrative support and customer service in a hybrid environment; must be motivated, innovative and have a proactive approach while working under minimal supervision
  • Meticulous attention to detail and ability to maintain a high level of confidentiality is imperative along with the ability to prioritize competing requirements and/or deadlines with the capacity to work overtime, as needed
  • Ability to multi-task and effectively support several partners and managing directors simultaneously in a fast-paced, high-pressure environment; solid proficiency in Microsoft Office Suite applications, web-based research skills and ability to learn firm-wide applications and technology packages
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future
