About You

  • You have 5+ years of experience in an operations, learning & development, production and/or corporate event planning role.
  • You have excellent communication skills, both written and verbal, enabling you to work asynchronously and across time zones.
  • You’re a good steward of the company’s money and seek to strike the perfect balance between mindful spending and employee satisfaction.
  • You’ve designed and executed purposeful events, retreats, meetings and/or offsites for internal teams.
  • You’re resourceful and highly adaptable. You can anticipate roadblocks, love a challenge, and enjoy getting creative to solve problems.
  • You are obsessed with details. You sweat the small stuff but keep the big picture in mind.
  • You have literacy in project management and have an established workflow using automation tools. You are a champion of evolving processes.
  • You’re a strong cross-functional collaborator. You have experience leading projects that involve multiple disciplines.

Things You Might Do

Zapier is a fast-growing, remote-first company, so you'll likely get experience on many different projects across the organization. That said, here are some things you'll probably do:

  • Create and maintain messaging across various internal knowledge management tools to ensure event details and expectations are communicated effectively.
  • Balance big-picture initiatives such as venue and vendor selection, with details like décor and meal planning inclusive of dietary restrictions, effectively utilizing resources and adhering to the budget.
  • Own systems for event project management, status tracking, and communication to ensure internal stakeholders and external vendors are involved at the right times and key milestones are achieved.
  • In collaboration with our logistics partner, oversee on-site support including transportation, rooming, A/V, food, swag, health & safety compliance, and overall employee happiness.
  • Ensure compliance with department and company guidelines and policies.
  • Assist the venue-sourcing process to find the perfect location to host retreats, meetings and offsites for groups ranging from 10 to 1000+ people.
  • Support the Manager, Events & Experiences in designing content & programming that implements the event strategy and reflects Zapier’s values.
  • Collect, analyze and share post-event feedback to align success metrics with the employee experience and to influence change and innovation.
  • Travel 15 - 20% for retreats and various Zapier events, mostly in North America.
  • As part of Zapier’s Customer Connection initiative, commit to building strong customer empathy. This enables us to do our best work, build our best products, and ensure our customers love using Zapier.

We generally hire based on timezones and try to keep teams together by making sure that every Zapien overlaps with their manager & teammates for at least a few hours a day.

*While we support Zapiens around the world the best we can, healthcare plans are available in the UK, Canada, and United States. Retirement plans are currently available specifically in the UK, Canada, New Zealand, Australia, and United States. A regional benefits premium is added directly to the salary ranges for team members who are in countries where we do not have entities or provide company-sponsored benefits. When recommendations are made for base salary, the benefits premium has already been factored in.
