Job Description

Our Facility Manager (m/f/d) is part of our Workplace Experience Team and is an in-person role for our Munich Location with regular hours from 9.00 - 17.30. This position is a temporary contract (18-24 months). We may be open to a part-time role (min. 80%) as well as full-time. Please apply no later than Sunday, June 5th for review the following Monday.

IDEO is in search of a people-oriented Facility Manager who will help create the conditions for our employees, clients, and partners to deliver their best work and have exceptional experiences in a creative and supportive environment.

This individual will function as a part of our Workplace Experience team. Why is this role important for IDEO’s work?

Facility Managers play a key collaborative role within each of our seven global Location Communities. IDEO Locations exist to cultivate culture, community, and belonging and to provide space for collaboration, convening and prototyping.

The Facility Manager will work alongside the Workplace Experience Specialists to deliver on the physical location aspirations, enabling creative work and ensuring that the location is fit for purpose. They will proactively work to set and communicate everyday operational best practices to ensure that we set our community up for success

Once here you will:

  • Coordinate the day-to-day running of IDEO ́s beautiful Munich studio building. This includes also the management of the sub-tenants of the building. For both the IDEO Studio and our sub-tenants, this includes p lanning, scheduling and coordinating general maintenance, repairs, modifications, or construction projects. For the IDEO studio specifically, this requires attending to logistics, supplies & studio environment in a hands-on manner in collaboration with the Leadership and Workplace Experience Team.
  • Liaising with the building administration.
  • Be present in the studio to coordinate the day-to-day logistics needed to operate the space (occasionally past normal working hours)
  • Ensure that the location is Health & Safety compliant with local regulations. This will also include documenting the processes as well as keeping abreast of any new regulations which may need to be implemented or reviewed.
  • Being responsible for maintenance of the property, onsite contractors and maintenance activity, which may include:
    • Planning, scheduling and coordinating general maintenance, repairs, modifications, or construction projects for the studio
    • Communication with contractors and external stakeholders for maintenance and security services
    • Ensuring building compliance with local regulations as well as safety and hygiene for IDEOers & studio visitors
    • Estimating costs and managing the procurement and disposal of housing equipment
    • Inspecting our facilities and equipment routinely to determine any necessity of repairs or maintenance
    • Responsibility for facility policies, processes and reporting, providing training for others where required
    • Owning communication with local authorities for legislation and permits.
    • Advising on workspace solutions and installation of office furniture.
  • Collaborate with the Workplace Experience team by assisting with the spatial set up for any hospitality focused experiences for clients and guests
  • Ensure that the studio inventory is up to date in regards to stocktaking, ordering, & distributing supplies where necessary.
  • Handle incidental services as needed in connection with events or other activities within IDEO.

  • You enjoy the nuts-and-bolts of community building and community management (both the “head” and “heart” of when and why to gather people) and have a knack for energizing others
  • You are empathic and curious about other people and what they do
  • You are a clear, effective, and compelling communicator, especially in an emergency situation
  • You enjoy making others successful and working in a fast-paced, creative environment
  • You are comfortable using Slack, Google Suite, Zoom, or similar communication and collaboration tools
  • You have strong organizational skills and a deep interest in creative operational excellence in Workplace Experience
  • You have a B2-C1 in German and B1 in English
  • It is a bonus if you are DEKRA certified, First Aid and Fire Warden trained, although we are willing to provide training to the right candidate.
