Job Description

Smartsheet is looking for a customer-centric HR Coordinator to join its growing People & Culture (P&C) team. We are looking for a highly capable and motivated individual with strong interpersonal skills to support our employees in APAC. Strong candidates will have experience working in a high-growth, fast-paced work environment. This position will be based in Sydney with the flexibility to work from our Sydney office

With a commitment to investing in the APAC region to better serve new and existing customers in Australia, New Zealand, Japan and the greater Asia-Pacific geography, Smartsheet opened up its third international office in Sydney in January 2020. This is an opportunity to be a part of Smartsheet at this exciting time, working with an outstanding team to build and expand the Smartsheet brand across an established market.

You Will:

  • Assist with employee lifecycle activities including, but not limited to onboarding coordination, right to work checks, Day 1 HR Orientation, and offboarding processes.
  • Be the first point of contact for new joiners, making them feel welcome and excited to join Smartsheet
  • Support the IT and Workplace Services teams as required with set up for new starters
  • Collect work authorisation & visa documentation
  • Ensure that all new starter data entered into the HR Information System is accurate, with high attention to detail
  • Support the administration of employee benefits including facilitating wellness programs in the local office
  • Ensure that new joiners and leavers are added/removed from the various platforms
  • Ensure that HR Information System benefit data is up to date and accurate
  • Answer basic employee queries regarding benefits and payroll
  • Work with the extended People team to manage queries received through our internal ticketing system
  • Support the payroll process as required
  • Provide employment reference letters
  • Help administer support for annual pay review cycle and associated data changes
  • Work closely with People Business Partners on ad-hoc projects
  • Work on continuous process improvements and process mapping
  • Facilitate activities and events that will continue to make Smartsheet an inclusive, respectful and great place to work
  • Recommend and implement improvements in HR administration processes

You Have:

  • 1-2 years in an HR administrative role
  • A tertiary qualification in a HR / Business discipline is desirable, however not essential
  • Customer service oriented with a strong attention to detail
  • Able to deliver at pace and demonstrate excellent prioritisation skills
  • Strong communication skills and can empathise with our people
  • You enjoy working in a collaborative team environment
  • Ability to adapt and thrive in a dynamic and changing environment
  • Reliable and discreet with handling confidential information
  • Experience working with HR systems is preferred
  • Bi-lingual in Japanese is a plus
