Job Description

Flatiron’s Legal, Privacy & Compliance (LP&C) team practices at the intersection of healthcare, research and technology. We provide legal and strategic support across the entire company. We work efficiently to drive our business forward while maintaining high standards for professionalism and compliance.

We are seeking a highly motivated and detail-oriented individual to join our growing LP&C team as the Operations Associate. The position will report to the General Counsel and work closely with the Legal team and with business stakeholders throughout the company. As our Operations Associate, you will be key in driving processes and practices to improve day-to-day efficiency and effectiveness and facilitate change. You will create value through strategic and process improvements and manage change for cross-team initiatives.

What You'll Do

In this role, you'll manage and support projects across mission-critical subjects involving corporate legal matters, implementation of a contract management system, legal vendor management, and other projects aimed at driving overall efficiency of the Legal team. You must be able to adapt to changing priorities and business needs, and must be proactive in identifying areas of need and generating/implementing action plans. Through these responsibilities, you will directly impact our goal to increase the efficiency, effectiveness, and sustainability of the LP&C team.

In addition, you will:

  • Provide key project management support for team-wide or company-wide projects, including:
    • Work cross-functionally to define project goals, develop and manage end-to-end project plans, and ensure a sense of urgency and timely delivery
    • Drive forward projects and communicate progress and decisions clearly and regularly to internal and external stakeholders, escalating concerns as necessary
  • Identify opportunities for greater efficiency across the Legal team, including:
    • Identify and implement tools to streamline practices, as well as manage design, rollout, and training for new systems
    • Assist in developing legal knowledge management systems and practices to preserve and deploy information assets (e.g. organization of Legal team drive and document management processes, etc.)
    • Serve as central point of contact for managing, filing and maintaining Legal’s Gdrive, intranet and advice repository
  • Support general Legal team operations, including:
    • Monitor and report on key operational and substantive metrics for the department
    • Assist with budgeting and optimizing Legal team workflows
    • Manage insurance renewals process
    • Support IP Program management
    • Coordinating continuing education opportunities for Legal team members
  • Provide administrative support (e.g., scheduling project-based or Legal team meetings, circulating Docusigns, taking minutes, consolidating feedback, etc.) and perform other duties as directed by the General Counsel
  • Assist in managing outside vendor usage and spend, including management of outside counsel

Who You Are

You're an adaptable professional operations specialist with 2+ years experience, including project management background. You are able to intake diverse inputs and opinions and align stakeholders on a path forward. You have excellent communications skills, with the ability to synthesize, simplify, and explain complex problems to different cross-functional stakeholders. You're excited by the prospect of rolling up your sleeves to tackle meaningful problems each and every day.   • You have a BA/BS degree or equivalent practical experience
  • You are process- and detail-oriented with ability to identify workflow problems and assess operational effectiveness
  • You are collegial and cooperative, with the ability to navigate and collaborate with a diverse group of personalities
  • You have prior project management experience
  • You have demonstrated ability to independently work cross-functionally, with particular skill in managing and negotiating with internal stakeholders to drive maximum efficiency for change management
  • You are able to thrive in a fast-paced environment and successfully manage multiple deadlines
  • You have sound judgment and discretion, with the ability to properly handle confidential and sensitive information

Extra Credit

  • You have experience in developing, implementing, and using legal department technology solutions, e.g., e-billing and matter management, G-suite programs (Gmail, Google docs, etc.),redlining software and Docusign e-signature
  • You have experience with law firm or in-house knowledge management policies and information management platforms
  • Corporate legal department, management consulting, or tech experience
