Job Description


McDonald’s USA is looking for an Administrative Coordinator. This is an excellent opportunity to build upon your professional experience in a fast-paced and team-oriented environment. You will be a critical team member and will perform a wide variety of specialized and administrative functions to support the Communications and Human Resources departments within our regional office. The top candidate will possess strong organizational and communication skills, knowledge
of HR principles and a proven track record getting results in a team environment and independently. This position will report to our Regional Administrative Manager and work in our Columbus, Ohio regional office.

Responsibilities:
Core Administrative Roles

  • Proficient in office suites; excel, word, powerpoint,
  • Manages Directors and Manager all aspects of travel arrangements including airline bookings, cars, and hotels
  • Provides support and accountability of our local People Teams and HR functions.
  • Manages calendar for Directors/Manages, if required
  • Reads and forwards appropriate e-mails, identifies important calls and urgent issues which require immediate action
  • Process invoices and obtain appropriate authorization for payment
  • Answers telephone calls and takes messages
  • Establishes and maintains files and records
  • Maintains inventory and orders office supplies
  • Assist with regional staff orientations
  • Assist regional admin team with overall office support

Special Projects

  • Manages and coordinates projects, events, and major meetings as needed
  • Provides clerical support for special projects and meetings
  • Stays current with the technical tools and available training to promote technical literacy of department
  • Participates on cross-functional teams as assigned
  • Update and maintaining various spreadsheets
  • Assist with the materials for roundtables discussions on cross-functional teams as assigned

Process Management

  • Manages and administers office systems and services.
  • Educates primary customers on best use of tools and processes
  • Assist with leveraging vendors/suppliers for cost effective services to the region

Coordination and Administration

  • Coordinate with Training department to provide logistical support as they facilitate training classes
  • Maintains staff employee personnel files
  • Responsible for coordinating interviews and onboarding of new hire
  • Responsible for processing of all new hire paperwork
  • Understand HR initiatives and process and work with HR team to develop strategies to engage appropriate audiences
  • Coordinates the award process (e.g., crew person of the year, Kroc Award), service awards, incentives and programs (e.g., communications, nominations, preparing supporting data).
  • Prepares reports and analyzes data relevant to people issues (e.g., succession planning, turnover trends, ATO).
  • May assist the HR Director/Manager with diversity networks, diversity education, and mentoring programs

Qualifications


  • Must be fully vaccinated (i.e., at least 2 weeks after last dose) for COVID-19 and, if hired, present proof of vaccination by start date.
  • Bachelor’s Degree in Human Resources, Business or related field preferred
  • Demonstrates ability to handle and maintain confidential information.
  • Prior experience working in an administrative, communications or human resources role preferred with an ambition to advance and have an impactful career in HR or communications
  • Experience planning meetings or events highly desirable · Must know MS Office (Outlook, Word, Excel, PowerPoint)
  • Experience with social collaboration (i.e. SharePoint), desktop publishing and web design software preferred
  • Strong communication, project management and critical thinking skills
  • Quick learner and ability to understand complex business issues
  • Must be organized, motivated and detail-oriented with superior follow-through · Must be able to juggle multiple projects and work well under deadlines
  • Strong attention to detail and ability to complete large volumes of work efficiently and effectively
  • Must be extremely productive with a desire to stretch beyond the task list to support the team
  • Ability to adapt to a continually changing business and work environment · Professional, reliable, driven and results-oriented
  • Must have diplomacy skills
