Instructure is seeking a dynamic part-time Office/HR Administrator to support the company’s APAC operations in our Sydney office. Candidate will maintain office operations while performing a wide variety of tasks ranging from administrative responsibilities to managing budgets and vendors. This position will work to provide amazing support to our APAC team, serve as the team's advocate while ensuring office management needs are met. This person will wear multiple hats and is responsible for all facets of HR and Administrative duties that help ensure a functional and exceptional user experience for our APAC Team. Responsibilities include office management, general HR functions, budgeting, vendor management, office supply inventory, maintain and oversee facilities, coordinate internal office moves, coordinate office meetings and assist company events. The Office Manager serves as the local team’s advocate while ensuring local office needs are addressed in accordance with company standards.
This is a fixed term position set to run from March 2022-April 2023 What you will be doing:
- Serve as the point of contact for all HR and Office Services needs.
- Recommend office policies and standard operating procedures based on observations and findings; Keep management informed of local office’s trends, expenditures, team morale, etc.
- Achieve financial objectives by adhering to an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
- Manage, monitor and maintain inventory for office and kitchen supplies.
- Coordinate office staff activities and assist with events to ensure maximum efficiency within budget.
- Track and help drive completion of tasks and projects specific to office administration.
- Greet and direct visitors and guests.
- Coordination of housekeeping/janitorial needs for office facilities.
- Purchase office supplies, furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervise the maintenance of office equipment, including copier, fax machine, appliances, etc.
- Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
- Coordination of courier services (including packing and shipping on behalf of the APAC team).
- Assist with company travel arrangements when necessary.
- Assist with employee onboarding, including overseeing IT orders for new employees.
- Other responsibilities as necessary.
Here's what you will need to know/have:
- Ability to work up to 20 hours per week (25 hours will be the max).
- Proven experience as office coordinator/manager or in a similar role.
- Superior customer service skills.
- Exceptional organization and time management skills.
- Excellent communication and interpersonal skills.
- Ability to prioritize and multi-task.
- Reliable with patience and professionalism.
- Associate’s/College degree; BSc/Ba in business administration or relevant field is a plus.
