This exciting role offers the opportunity to:
A. Responsible for reviewing and approving IP invoices in accordance with Eaton’s billing guidelines and compliance requirements
B. Process and monitor annuity payments including responding to annuity payment requests and resolving issues.
C. Provide detailed patent forecasts, including upcoming annuities, estimated prosecution costs and strategic business insights in coordination with input from IP attorneys.
D. Support the development, implementation, maintenance, and auditing of the invoice robotic process automation for invoice compliance
E. Monitor patent tax payment dates and process all manual pay and stop pay instructions.
F. Responsible for training and communicating with outside counsel for all financial matters including invoice troubleshooting and payment, Eaton billing guidelines and compliance related matters
G. Serve as the CounselLink Lead Administrator for the Intellectual Property Special practice group, including additional responsibilities such as fee offer approver and invoice reviewer. Represent the IP SPG as a member of the Outside Counsel Management and CounselLink Forum.
H. Manage Patent Inventor Award auditing and forecasting, including providing businesses with expected award payout amounts on a quarterly basis and monitoring the E-Star monthly reports
I. Participate in IP SPG projects, process improvement initiatives, investigations, and other support items as required.
J. Create, organize and maintain efficient, digital-focused workflow processes in terms of projects and assignments. Develop and update work instructions, process maps, and templates to reflect changes.
K. Demonstrate a highly collaborative and team-focused approach.
L. Foster an environment that promotes Eaton’s goals, philosophies, and encourages continuous improvement.
Basic Qualification:
• Bachelor’s Degree from an accredited institution
• Three years’ experience in a business environment preferably
• Strong English language skills. Other languages a plus
• No relocation offered
Position Criteria:
• Results-driven with the ability to take initiative, handle multiple tasks and shift priorities
• Excellent analytical and problem-solving skills with strong attention to detail
• Excellent verbal, written and organizational skills
• Experience with databases, reports and data analysis
• Experience with managing invoices, financial reports, and financial forecasts
• Solid computer skills including knowledge of Microsoft Office, with advanced skills in Excel, PowerBI and PowerPoint
