Job Description
What You’ll Do
- Manage supplier relationships through Facilities purchasing processes ensuring cost risks are mitigated, and services supporting Facilities Operations are provided uninterrupted.
- Responsible contributing to the success of Facilities Compliance programs, reducing company exposure to risk.
- Adhere to and enforce various departmental policies and controls.
How You’ll Do It
- The Project Manager for Engineering will work with the broader Facilities Department to develop and execute strategy, schedule, monitor projects, and coordinate facility related operations, maintenance, and policy & procedures for the Riverwoods Campus. This person be will expected to provide lean guidance & prospective focused on this effort. This person will also coordinate with contractors and consultants to develop strategies, as well as collaborate with cross-functional teams.
- Ensure uninterrupted services to mitigate facilities downtime through active monitoring and management of utilities services.
- Manage the accuracy and integrity of all information entered into the Ariba system as it relates to Suppliers and services, or products procured. Review invoices submitted for accuracy, obtain department approvals and process through Ariba for payment.
- Collaborate both cross-departmentally within Discover and with Suppliers to efficiently identify and solve issues related to Supplier onboarding, purchase orders, invoices and payments.
- Monitor Compliance program (Facilities Procedures, Standards, Policies, Controls), working internally with responsible parties to ensure documentation reviews are completed and approvals obtained on time, while completing mid-cycle gap analyses as requested to identify opportunities for improvement within the Compliance framework.
- Actively seek opportunities to streamline process, reduce costs and add value to the organization through review of daily activities, leveraging SharePoint, DLife and Microsoft Teams.
Key Responsibilities:
- Help interpret key metrics for scorecard creation and project execution
- Build relationships with all key constituents necessary to deliver results
- Directing and coordinating with building engineers and vendors
- Pricing and coordinating repairs & maintenance
- Budgeting
- Processing purchase orders of supplies and materials
- Scheduling and coordinating building testing.
Qualifications You’ll Need
The Basics
- Bachelor’s Degree in Business, Finance, Supply & Logistics or related field
- 2+ years of experience in SAP Ariba P2P Suite or related field
Bonus Points If You Have
- 2+ years of experience in Facilities Operations or related field
- 2+ years of experience in Supplier/Vendor Management or related field
- Ability to adapt and prioritize task
- Strong analytical skills
- Ability to drive projects and work independently
- Proficient with Microsoft applications (Word, PowerPoint, and Excel)
- Excellent written and verbal communication skills.
