Purpose of Job

We are seeking for an Executive Assistant for our San Antonio Home Office.
Performs administrative support for members of the Executive Management Group (EMG). Ensures day-to-day activities are coordinated and EMG members are prepared for responsibilities.

Primary Responsibilities:

  • Identifies and handles existing and emerging risks that stem from business activities and the job role.
  • Ensures risks associated with business activities are effeciently identified, measured, supervised, and controlled.
  • Follows written risk and compliance policies and procedures for business activities.
  • Coordinates activities and ensures timely information flow for EMG members supported.
  • Prioritizes and coordinates work for EMG members to meet deadlines on multiple tasks.
  • Prepares and updates presentations, reports, and spreadsheets for EMG members and assigned area.
  • Reviews data content and presentation method for accuracy and compliance with standards.
  • Handles EMG members’ schedule and provides administrative support to assigned EMG which may include handling emails, maintaining calendar(s) and ensuring appropriate record retention
  • Routes department calls and e-mail to appropriate staff members.
  • Composes e-mails, letters and memorandums.
  • Maintains filing system for key documents. Prepares correspondence and reports for EMG supported.
  • Ensures data to and from EMG members are treated with appropriate level of confidentiality.
  • Maintains travel and expense reporting.

Minimum Requirements:

  • High School Diploma or General Equivalency Diploma.
  • 4 years directly related work experience.
  • Advanced knowledge of spreadsheets, data retrieval, and word processing and presentation software.
  • Demonstrated experience with calendar management and/or prioritizing tasks in a fast-paced environment.
  • Ability to effectively build strong relationships and work with all levels within the organization.
  • Excellent oral and written communication skills with a high degree of accuracy and attention to detail needed.

Preferred Experience:

  • 4 years of experience working as an executive assistant
  • Proven experience supporting more than one executive
  • Experience coordinating travel and expense allocations
  • Experience coordinating activities and information flow for EMG member supported.
  • Experience prioritizing and organizing work for EMG member to meet deadlines on multiple tasks.
  • Experience preparing and updating presentations, reports, and spreadsheets for EMG member and assigned area using Microsoft applications.
  • Experience reviewing data content and presentation methods for accuracy and compliance with standards.
  • Experience routing department calls and e-mail to appropriate staff members.
  • Experience composing e-mails, letters, and memorandums.
  • Experience maintaining filing system for key documents.
  • Ensures data to and from EMG member is treated with appropriate level of confidentiality.

Compensation:

USAA has an effective process for assessing market data and establishing ranges to ensure we remain competitive. You are paid within the salary range based on your experience and market position. The salary range for this position is: $54,800-98,700*.

Employees may be eligible for pay incentives based on overall corporate and individual performance or at the discretion of the USAA Board of Directors.

*Geographical Differential: Geographic pay differential is additional pay provided to eligible employees working in locations where market pay levels are above the national average.

Shift premium will be addressed on an individual basis for applicable roles that are consistently scheduled for non-core hours.
