Overview

The Program Coordinator III is responsible for facilitating activities associated with a specific complex program or group of complex programs in a specialty/functional area including scheduling, coordination of communication, data management, document preparation, and process improvement. Supports development and maintenance of related tools, policies, training materials, and methods/procedures for communication and coordination with internal teams, external departments, and community providers, payers and agencies. Works in collaboration with the Program Manager and other program staff to help to implement the program’s objectives in support of identified goals and the continuous improvement process. Partners with the program team to implement operational solutions. Responsible for ensuring effective communication among stakeholders and program staff. Facilitates interdepartmental activities, ensuring ongoing effective program operation and/or implementation. Oversees a moderate to high volume of complex work in support of the program. This level performs work under limited supervision with independent judgment required.

Other Responsibilities:

  • Ensure ongoing provider deployment optimization, template development, exam room reservation and allocation, ensuring optimal scheduling/filling of schedules and adjust/escalate as appropriate.
  • Develop reliable methods for ongoing program growth, efficient scheduling and optimized deployment. Works in coordination with Div Chief, Service Line Director, management team and scheduling resources and leaders.
  • Schedules and ensures provider deployment is successfully performed in Neurology and other department’s thereby meeting budget targets by provider (Heme-onc, Craniofacial, Autism, Rehab, orthopedics, satellites, UW/Harborview, and inpatient and on-call responsibilities).
  • Responsible for monitoring and addressing under-filed clinic visit on templates for all provider and location
  • Coordinate’s deployment of over 50 providers in over 16 clinic locations, on-call schedules and PTO/conference schedules.
  • Partners with Service Line Director, Division Chief, Physician Medical Directors (12), APP Supervisor, Practice Manager and Nurse Manager for optimized clinics through schedules and template optimization.
  • Support and facilitate Regional Epilepsy Strategic Plan deployment and scheduling, with metrics, assessment of success and re-evaluating opportunities for improvements.
  • Supporting “urgent add-on” templates, room reservations and scheduling for the inpatient call teams and for the “Ambulatory Acute Attending” (AAA) team.
  • Monitors and opens new clinic slots for the 1 st seizure clinics, thereby ensuring and sustaining family access to a clinician for their first seizure situation. This happens regardless of provider schedules and also meets the strategic intent for this patient population.
  • Support working with DIv Chief (Dr Wainwright) to optimize his leadership role for coordination and deployment of the 52 (as of 12/1/19) providers in Neurology. Supporting and developing monthly reports and data on provider productivity, unexpected outcomes and other department related metrics, data and information.
  • Maintains Qgenda for all provider schedules and works with supporting and maintaining access metrics for Dr Wainwright and all providers.
  • Participate in and actively monitor budgeted vs actual productivity, access metrics and referral demands for faculty, APP’s and other Children’s Employed providers (Neuropsych, Psychometrists, Social work, Nutrition team, genetic councilors).

Requirements

Required Education/Experience:
- Bachelor’s Degree or equivalent combination of education/experience that demonstrates knowledge and competency
- 5 years program coordination support experience; including at least 2 years of experience organizing multiple projects through to completion
- Experience working on process improvement projects with cross-functional teams
- Experience organizing multiple projects through to completion
- Successful track record convening and facilitating dialogue with multiple and diverse stakeholders
- Experience with: drafting, editing and developing communications and/or reports
Required Credentials:

Preferred:

- Ability to understand and have experience in scheduling for clinic and surgeon schedules for on-call, clinic, OR, research and travel/conferences.

- Willingness to learn or have exposure to excel and Tableau tools within the 1 st year of in position.

Experience working in public health, health care or social services
- Experience working on continuous process improvement projects and strong understanding of lean methodology
- Experience in coordinating events and/or project management
- Experience with budgeting
