The ANATOMIC PATHOLOGY department at HARBORVIEW MEDICAL CENTER has an outstanding opportunity for a FULL-TIME ADMINISTRATIVE ASSISTANT 2.
The ADMINISTRATIVE ASSISTANT 2 will perform a variety of complex assignments such as: sorting and filing glass slides and tissue blocks, sending pathology material out for testing at other facilities, returning outside pathology materials to their originating facility, preparing clinical case conference paperwork, performing complex data entry for pathology materials received for consult, answering and triaging phones, and responding to inquiries regarding office/departmental policies and procedures.
Successful candidates should have the ability to prioritize work and assist in problem solving while showing independent critical thinking. This position is located at the front desk in the Pathology office, so strong multi-tasking and customer service skills are a must.
Responsibilities include:
  • Maintain and secure Pathology the departmental inventory of glass slides and tissue blocks. Scan, sort, and file materials.
  • Archive Pathology materials according to retention policies and retrieve/return archived materials as necessary.
  • Use Pathology software applications for sending, retrieving, and tracking
  • Pathology and outside institution slides and blocks.
  • Use Pathology software applications for investigating, locating, and documenting materials and inquiries/requests.
  • Process requests to send Pathology materials for testing in Pathology and Lab Medicine laboratories, and to outside institutions and laboratories.
  • Deliver materials to residents, faculty, and other areas of the department as scheduled or as needed.
  • Prepare Pathology material for transport via established courier runs.
  • Process, track, and return all consult materials to originating institutions.
  • Provide backup coverage for the main Pathology phone line in a professional manner and direct calls as appropriate.
  • Respond to requests for information regarding Pathology materials, reports, and operations.
  • Interact professionally and communicate appropriately and clearly with physicians, office management, and office staff in the Pathology department and other departments/institutions.
  • Prepare clinical case conferences and coordinate with clinicians, clinic staff, trainees, pathologists, and slide room staff effectively to ensure established deadlines are met.
  • Assist with the development of procedures and job aids for slide room workflows. Assist with training and oversight of slide room student assistants.
    REQUIREMENTS:
  • High school graduation or equivalent AND two years of full-time clerical experience OR equivalent education/experience.
    DESIRED
  • Clerical experience in a medical office environment
  • Demonstrated ability to learn new software applications
  • Demonstrated ability to maintain attention to detail while juggling multiple priorities
  • Experience with EPIC
  • Intermediate knowledge of Microsoft Office Suite
