The A Side: A Day in The Life

This is a dual role supporting two executives of Universal Music UK. Vanessa Higgins leads Virgin Music Label & Artist Services UK, which provides artists global solutions, through UMG’s industry-leading technology platforms, specialist local networks and expertise, alongside a suite of resources to help position labels and artists for long-term success globally and to empower the next generation of independent artists and labels to reach new audiences around the world.

Simon Johnson leads strategy, growth and eCommerce for Universal Music UK and will boost customer engagement, build out community retail and enhance the company’s already sector-leading analytics, while developing and working with new direct to consumer platforms alongside the company’s existing stores.

The B Side: Skills and Experience

• Screening all incoming calls made
• Screening all incoming and outgoing post
• Extensively managing diaries
• Ticket ordering and distribution of tickets throughout the company for International events and awards
• Managing absence
• Pulling together report information from the departments and collating into reports
• Managing filing, photocopying, typing and general administration
• Arranging business travel and preparing itineraries
• Arranging and preparing for meetings on behalf of the MDs
• Processing invoices & expenses through accounts department
• Disseminating communications to the business as quickly as possible
• Liaising with people at all levels including Directors, Artists/ Artists Management
• Responsible for organising gifts for artists on special occasions such as Christmas and birthdays
• Responsible for organising and managing team events subject to restrictions being lifted

Person Specification

• Previous experience of working as a PA at a senior level
• Previous experience of dealing with senior members of an organisation
• Excellent proven organisational & communication skills; gained through the above
• Proven experience of working in a pressured environment
• Proven experience of working under own initiative and as part of a team
• Excellent IT skills, especially in Word, Excel and Powerpoint
• Good typing and audio skills
• Proactive approach to work, able to pre-empt problems before they occur

• Above experience gained in Music or Media organisation
• Experience working in / passionate about music
• Experience using Universal internal systems
