Providence St. Joseph Health is calling a Program Support Specialist PSJH to our location in Torrance, CA.

We are seeking a Program Support Specialist PSJH who will be responsible for project support across the Real Estate and Construction division. This role is responsible for providing project and administrative coordination to leaders within Real Estate and Construction to meet key initiatives and milestones. The Program Support Specialist must be able to work independently as well as be a contributing team member. This role may require cross functional and regional coordination and support depending upon workload and regional needs. This role must be able to manage competing priorities with minimal direction.

In this position you will have the following responsibilities:

  • Responsible for developing, maintaining, and distributing project information and documentation. May include meeting agendas, meeting minutes, and scheduling, Provide meeting support and accountable for following up on action items and ensuring that accountable party delivers on deadlines. Creates high level status reports.
  • Responsible for managing competing priorities and delivering results with minimal direction. Meets key deliverables and deadlines. Accountable for communicating when deadlines are at risk and provides options to mitigate.
  • Anticipates and proactively meets expectations of the team.
  • Develops process improvement recommendations to enhance efficiencies.
  • Process invoices in E-Builder and WebNow based upon protocols and matrix; receives, records, and routes for approval as well as submission and tracking of payment.
  • Provides administrative coordination to include, but not limited to, calendar management, travel, and correspondences for leaders within REC.
  • Create modernized presentations that reflect the business vision of REC leaders with minimal direction.
  • Accountable for processing change orders in Strata and e-Builder including receipt, recording, routing for approval and submitting for execution.
  • Responsible for creating PO requests in Strata and in Lawson as requested. Creates new commitments in e-Builder.
  • Responsible for reconciliation of actuals paid in e-Builder with invoices in Strata.
  • Creates reports as requested and ensures data in accurate and timely. Responsible for reconciliation of different reporting platforms to produce reports.
  • Responsible for being the main point of contact for the team and is responsible for escalating issues to leadership.
  • Accountable for timely communications related to construction projects and disruptions services.
  • Responsible for document control related to projects as assigned by leadership. Manages documents in adherence to system and divisional polices/guidelines.
  • Responsible for managing the division's SharePoint sites and reconciles data uploads to ensure relevance.
  • Responsible for obtaining pertinent information from vendors and consultants that support the projects and leaders within REC. Represents REC in a professional manner when interacting with vendor/consultants.
  • Must be willing to travel throughout and across the regions. Must be able to flex work with schedule to meet the workload needs.
  • Other duties as assigned.

Qualifications:

Required qualifications:

  • 5 years program or project support experience.
  • 3 years administrative support experience.
  • Driver's License.

Preferred qualifications:

  • Bachelor's Degree in Business Administration, project management or equivalent education/experience.
  • Project coordination skills experience.
