Responsibilities:

Eli Lilly Canada is currently searching for a Marketing Material Coordinator as a key member of the Commercial and Training Operations Teams. This is a hybrid role where you will be responsible for managing all elements of material approval workflows, archiving and distribution of promotional materials created and/or distributed by Lilly Canada and its agents.

The Marketing Material Coordinator will also be responsible for managing the administrative aspects of affiliate training plans and activities to ensure that all employees at the affiliate have appropriate trainings assigned and the affiliate remains in compliance with training compliance requirements.

Core responsibilities for material workflow coordination:

  • Material lifecycle management for materials intended for distribution by Lilly Canada. This includes inventory management of printed materials as well as working with Brand Managers to coordinate expiring digital and printed materials and their re-approval or disposal.
  • Manage and coordinate the review/approval process for Lilly-created promotional materials for both internal and external use.
  • Serve as primary point of contact for administrative changes within the material review system.
  • Provide user support to internal and external users of the material review system. This support will include user training and ad hoc user support for both Lilly stakeholders and engaged vendors using the system.
  • Ensure alignment and availability of inventory managed by material distribution vendor.
  • Provide general support to all internal and external users to ensure compliance to Lilly’s material review policies & procedures as well as Innovative Medicines Canada (IMC), Pharmaceutical Advertising Advisory Board (PAAB), Advertising Standards of Canada (ASC) and other regulatory requirements.

Core responsibilities for training administration support:

  • Work closely with the Learning & Development/Capabilities Manger in support of an effective and impactful training program at Lilly Canada.
  • Create courses in the Learning Management System and apply accurately to learning plans.
  • Set up and maintain Learning Management System assignment profiles.
  • Track new hires, job changes and membership confirmation for various Lilly Canada functional committees to ensure appropriate curricula are assigned.
  • Run, analyze and follow up on compliance reports. Report on key training metrics and provide the necessary information to support training compliance monitoring and follow-up.
  • Work with course owners to ensure new courses are added to the system and assigned properly. Follow up with course owners to ensure that existing course content is updated as needed, old courses are retired, and matrix and learning plans revised and accurate.
  • Provide first-line support and troubleshooting advice to Canadian learners. Work with the Shared Service Centre to track issues, identify root causes, and institute necessary fixes.
  • Support adoption of new tools or processes within the Lilly Canada learning environment.

Required Skills and Experience

  • Minimum 3 years of business experience in pharmaceutical, biotech, or other highly regulated industry (preferably in compliance, quality systems or healthcare compliance)
  • Hold an undergraduate degree or other certification (preferably in Business, Science, Ethics & Compliance, or Healthcare)
  • Excellent communication skills, both written and verbal
  • Excellent interpersonal skills combined with a project management and process improvement experience in a complex and changing environment
  • Demonstrated ability to work independently and effectively problem-solve to ensure key requirements of key stakeholders are met
  • Ability to communicate and influence in a cross-functional environment
  • Ability to keep to deadlines and follow processes
  • Learning agility and retention of various legislation including Health Canada, Innovative Medicines Canada, and PAAB codes

Preferred Skills and Experience

  • Experience with common business systems and applications (e.g., Veeva CRM and Veeva Vault PromoMats, SuccessFactors, Microsoft Suite)
  • Bilingual (English & French) an asset
