Department Overview
The Group Portfolio Delivery International team is part of Corporate & Investment Bank (CIB), International Chief Operating Office (ICOO) and responsible for managing business change initiatives that may span the Americas, EMEA, and APAC regions.
About the Role
The Project Coordinator position supports projects specific to the CIB Portfolio Delivery team supporting International Lines of Business, and those where International is a stakeholder for Enterprise initiatives. The position reports directly to the Regional Project Management Manager Lead and is responsible for managing and coordinating activities and resources in a project life-cycle (initiation, planning, executing/controlling, and closing) of a large regional program in support or multiple projects.
Responsibilities
- Support financial management and control via financial variance reporting and analysis.
- Support Risk, Assumption, Issue and Dependency (RAID) coordination and updates.
- Maintain the portfolio level SharePoint with the team; regularly conduct follow-ups with and coordinate updates from Program Managers as required.
- Support the build-up of business continuity plan for the regional project management team and maintain the plan on an ongoing basis.
- Work with the team to coordinate and maintain new joiner on-boarding documents.
- Ensure all administrative procedures are adequately completed prior to new joiners start dates.
- Document new or revised processes and procedures pertaining to the above activities.
- Provide leadership and communications support for periodical newsletters, team meetings and other relevant ad-hoc requirements.
- Responsible for managing and coordinating activities and resources in a project life-cycle (initiation planning, executing/controlling, and closing) in support of large-scale projects that impact multiple departments, systems and/or workflows with moderate to high risk and complexity or multiple projects simultaneously with lesser risk and complexity.
- Maintain project documentation (e.g., meeting minutes, issues log, change control log, etc.) and ensure posting of documentation to projects approved document repository and website if applicable.
- Responsible for managing the support and provision of project tools and equipment, updating the project sites and performs updates to project management system of record.
- Produce status reporting, including milestone summary, key issues, risks, benefits, and summary of costs incurred. Reviews project activities for compliance with procedures and standards including performing centralized project set up and/or maintenance for all projects and programs in corporate risk.
- Responsible for additional project coordination duties. May assist the Project Manager or Program Manager in any of the project functions.
Market Skills and Certifications
Requirements
- Strong analytical skills to be able to interpret and synthesize complex business and technical environments to scope and control project work which aggregates at portfolio level.
- Project support and / or administration coordination experience.
- Experience of meeting deadlines, often with short turnaround times.
- Strong written and verbal communication skills, with the ability to communicate across all levels of management and interpersonal styles.
- Proven experience of indirectly or directly influencing internal stakeholders across regions.
- Attention to detail and high accuracy of delivery.
- Ability to build and leverage a strong personal network within Wells Fargo.
- Degree or equivalent level education in business, accounting or related field.
- Highly competent with MS Office, especially Word, Excel, PowerPoint, Visio, and Project.
- Hands on day-to-day expertise of Microsoft Project, and a project management tool e.g. Clarity.
- Unquestionable conduct, ethics and integrity.
- Hands on experience with one of a combination of project management, project delivery, and project methodologies e.g. PMI CAPM, would be advantageous, including study towards such an accreditation.
