Hours: Full Time; Monday - Friday; 8:00am to 5:30pm; Occasional Saturday clinic coverage (2 Saturdays per year)
Location: The Polyclinic Madison Center and Travel to Northgate Plaza Location
To work with Practice Manager, physicians, and staff to develop and implement policies and procedures regarding patient care, satisfaction and flow in a manner which is consistent with the clinic’s mission and values. Maintain daily operations (including personnel supervision), business and clinical functions, facility maintenance, patient relations and physician business.
Personnel Management
- Working with the Practice Manager, provide ongoing support and supervision for the practice management staff including coaching, motivating, evaluating, and disciplining.
- Coordinate with physicians and Practice Manager to define staffing and coverage requirements (to include lunch relief), and to assure that the requirements are met.
- Work with Human Resources and the Practice Manager to recruit the most qualified candidates for practice positions.
- Communicate, implement, and follow Human Resources policies and procedures within areas of responsibility.
- Support and work with Practice Manager and Human Resources regarding terminations, disciplinary actions, and sensitive employee issues.
- Assure that each new employee completes an orientation and that the employee performs the required duties of his/her job effectively and efficiently.
- Reviews and edits Ultipro personnel management system. Approves time sheets for payroll.
- Identify training needs of individuals and of groups of staff and ensure they are met.
- Ability to supervise front and back office staff, redirect assignments and fill in for staff up to 50% of the time.
Budget and Financial Performance
- Participate with the Practice Manager in budget development and monitoring to ensure budgetary and financial goals are met and/or exceeded.
- Monitor supply usage and ordering.
- Suggest and investigate cost saving opportunities.
Process Management
- Monitor, suggest, and implement changes to process flow and procedures.
- Participate with Practice Manager in development, communication and implementation of practice and business policies and procedures, and assure that staff functions within those policies and procedures.
- Identify supplies, equipment, technology and other resources necessary for high quality patient care and efficient function of the department.
- Communicate and coordinate needs to the Practice Manager.
- Round on staff daily.
Quality Management / Patient Satisfaction
- Monitor and maintain the performance practice standards, and work with the staff to assure that defined standards for appointment access, productivity, customer service and other business performance standards are met.
- Responds to customer complaints and concerns about the practices, communicates those concerns to the Practice Manager and implements appropriate actions.
- Document and report incidents and coordinate with the Practice Manager to assure that steps are taken to prevent recurrence.
- Assure that the activities within each practice are in compliance with local, state and federal regulatory requirements.
Leadership
- Act as a problem solving and decision making resource to staff and physician.
- Assist Practice manager in providing direction to practice in supporting the organization’s mission, vision, values and goals.
- Provide support to staff and physicians during periods of change.
- Act as a role model in providing customer- based service.
- Work to maintain high morale and job satisfaction among staff.
- Promote the development of self- directed teams among pods/clinic.
- Practice positive communication skills with physicians, staff, and other internal and external customers.
- With Practice Manger assume project leadership on practice management department strategic initiatives.
- Other duties as assigned.
Supervisor Responsibilities:
- Coordinates and manages staff schedules along with the staffing coordinator and assures float staff is properly cross-trained to the area in which they are floating.
- Conduct regular staff pod meetings in coordination with the Practice Manager, providing agendas and written minutes.
- Able to work in a dynamic fast paced environment while remaining professional and positive.
- Ability to work as an MA in the back office

- Requires a high level of organizational skills
Requirements
Requires high school diploma or GED; graduate of an accredited Medical Assistant, LPN, or RN program; and current Medical Assistant certification or LPN/RN License; and three or more years of experience in a healthcare setting.
Prefer college degree, outpatient healthcare experience and management experience.
