What you get to do in this role:
Provide high-level administrative assistance supporting the Engineering department.
Uses discretion in handling details of a highly confidential and sensitive nature. Applies skills and analytical knowledge acquired through experience to perform the more complex duties of the position. Works under limited supervision and executes own work planning as well as the ability to work collaboratively across a pooled group of administrative resources helping support the entire Engineering Organization. Applies innovative thinking to resolve routine to moderately complex problems. Prepares sensitive information for use in discussions and meetings within the organization and with outside individuals. Prepares presentation materials and various forms of written documents compiles, using various software tools such as the Microsoft Office Suite with a particular emphasis on PowerPoint.

Typical Deliverables

  • Responsible for organizing and managing the logistics of meetings which includes numerous senior leaders and external constituents including vendors, suppliers, media, analysts and marketing professionals
  • Responds timely and professionally to emails, voice-mails, and written correspondence
  • Master at managing calendar in detail oriented manner
  • Coordinate domestic and international travel including many meetings and complex scheduling, subject to last minute changes.
  • Supports department budget including creation of purchase orders, management of expense reports, etc.
  • Budget reports reconciled with department spending; manager informed
  • Department initiatives and projects tracked; outstanding action item follow-up and status reports to leader
  • Reference documents created (predominately using PowerPoint, but also excel and word), maintained and updated for department use and for specific projects
  • General questions answered, unknown answers researched and appropriate information dispensed to employees and customers/vendors

Technical/Functional Skills

  • Communicates clearly, at multiple levels and with diverse audiences
  • Researches and analyzes data within the context of a project, departmental needs, or company direction and makes recommendations for improvements
  • Handles multiple tasks, switches priorities and focuses as needed
  • Applies advanced calendaring skills; prepares thorough agendas and meeting/travel details
  • Applies advanced PowerPoint skills; prepares high level presentations with appropriate graphics which visually display pertinent business information
  • Applies effective resource skills in work applications
  • Bachelor’s Degree or Professional Executive Assistant Certification or equivalent experience
  • Proficient in standard suite of office software and operation of office equipment
  • Fundamental project management experience, including development of basic project plans and successful execution
  • Excellent calendaring skills
  • Excellent organizational and written communication skills
  • Event planning to include support for large meetings, off-sites and team motivation events
  • Demonstrated problem solving skills
