As a member of US Promotion Operations, the Promotion Operations Manager is tasked with the coordination and oversight of the end-to-end promotion process, sponsoring Brand Marketing for non-digital tactics.

Primary Responsibilities

Promotional Material Development Project Management:

• Attend agency status meetings and project kickoff meetings with job owner to ensure line of sight into upcoming project review submissions and releases
• Open and route jobs and schedule review time in the appropriate systems based on established upon timeline with agency and job owner
• Provide oversight of materials being added to the promotion review team agenda to ensure that minimum quality and promotion review guidance has been followed.
• Partner with Safety Label and Marketing Points during the Safety Label Updated process and manage identified jobs
• Partner with job owners and other stakeholders in the execution of job reapproval and retirement and manage identified jobs.
• Team up with deployment suppliers to confirm expired jobs have been removed from market
• Communicate with job owner, agency, and print supplier to ensure all print deployment requirements are met in timely fashion

Promotional Review Process Management:

• Accountable for forecasting promotion review team needs, through partnership with sales communications, training, brand managers, and other marketing support functions.
• Lead and actively participate in prioritization discussions for assigned brand(s) and convey resolved agendas to reviewers and job owners who will be presenting during the meeting.
• Provide counsel to job owners on planning for the review process including timing considerations, type of review to consider, and guidance documents to review
• Facilitate promotion review team meetings to ensure meetings are efficient and conducted according to guidance.

Promotional Material Inventory Management:

• Manage ROME inventory with input from job owner
• Determining print quantities and placing print re-order requests.
• Determining the order quantity limits for all ordering systems and delivery platforms – to both internal and external customers.
• Approving requests from the Field and HCPs that fall outside of the normal order profile

Education Minimum Requirements

• BS or BA

Required Experience and Skills

• 2+ years of relevant experience
• Experience working in a fast-paced, cross-functional environment
• Experience managing multiple stakeholders
• Experience working on multiple projects at one time
• Excellent interpersonal and communications skills (oral and written)
• Influence without authority (ability to manage up)
• Demonstrated ability to learn quickly

Preferred Experience and Skills

• Experience in Pharma and / or Operations related field.
• Forecasting experience
• Ability to manage ambiguity and to adapt to changing needs of customers and business
• Knowledge of the Promotion Review Team process
• Knowledge of Veeva PromoMats
• Knowledge of Workfront
• Knowledge of ROME
• Experience managing and coordinating with external suppliers
