Team Description

The Workplace Services (WPS) team is responsible for curating and sustaining our unique ServiceNow work environments around the world, helping to bring our purpose to life in the physical sense. We are responsible for the full life cycle of our physical workplaces, from ‘ideation to expiration’, and we are a key influencer of the employee experience by way of our workspaces, services and amenities.

Overview

ServiceNow is searching for an energetic Project Coordinator to join our Workplace Services Program Management Office (This is a construction PMO position, not an IT PMO position). The right person will be passionate about working for a company that lives its brand and understands that Workplace Services plays a major role in how we create a company culture and work experience. The Project Coordinator will be a crucial part of the team taking ownership and responsibility of the day-to-day PMO functions and services as well as the activities of the team. They will partner closely with the Program Management team to foster continuous improvement of the team and support a fast-growing company.

Responsibilities

  • Help to coordinate construction projects. This is not an IT position.
  • Creates project files from standard templates at the beginning of each Project
  • Maintains project files thru the life of the projects
  • Archiving of final project folders
  • Ensures all modifications to standard forms/templates are rolled out uniformly and to the global team
  • Update project dashboards weekly
  • Compile all project status updates in a consolidated Status Update for PMO Leadership
  • Gather/export data and enter on spread sheets
  • Track of task being done by each PM
  • Maintain the organization of the PMO folders
  • Book Trips for PMs & Support expense reports
  • Weekly reminders for Status updates, monthly GRs, and quarterly re-forecasts of CapEx budget
  • QBR updates and track YOY QBR results
  • Compile metrics for QBR
  • Track quarterly PM Goals and Trainings
  • Maintain Global Vendor list for PMO
  • Compile PMO lessons learned for all projects
  • Manage furniture reconfigures, small refresh projects, and small-size projects under operational projects with a Sr. PMO supervision
  • Start to learn to read, understand and apply standard documents affecting real estate projects, including but not limited to agreements/contracts, leases, work letters, project charters, surveys and drawings.
  • Tracks progress of each project against goals, objectives, approved CapEx budgets, approved timelines. Reports status and variances.
  • Cooperate with other building/operations, IT, AV, security personnel to achieve goals and objectives.
  • Strive constantly to improve skill and work knowledge

Skills & Qualifications

  • Strong organizational skills and collaborative style needed
  • Ability to communicate clearly, effectively and professionally (verbally and in writing) with global teams whose first language may not be English
  • Ability to work flexible schedule including overtime, early mornings, evenings and/or weekends as needed to meet department and company demands
  • Understanding and ability to work with teams in global time zones
  • Ability to maintain professionalism at all times under pressure
  • Ability to plan and manage work under time constraints
  • Ability to identify, resolve or appropriately escalate problems
  • Ability to work effectively with minimal supervision as an individual and as part of a team
  • Proficient in MS office, Outlook, Excel, MS Project, MS OneDrive
