The Chen Research Group is within the Biostatistics, Bioinformatics, and Epidemiology Program (BBE) of the Vaccine and Infectious Disease Division (VIDD) of the Fred Hutchinson Cancer Research Center. A hallmark of the Chen Group is the collective pursuit of excellence in quantitative scientific research that employs biostatistics, bioinformatics, epidemiology, and mathematical modeling to better answer questions on human infectious disease processes and prevention.
We are seeking a motivated Research Project Manager to coordinate administrative and project-specific activities in support of an active research portfolio. In this position, you will be able to use and develop your current skills and knowledge to support the teams growing research assignment needs for all aspects and stages of the investigator's portfolio.
Responsibilities
Grant Administration:
- Coordinate and manage submission of all grant/cooperative agreement/subaward applications/ and progress reports (RPPR’s)
- Contribute to non-statistical components of the grant write up
- Work with Research Administrator to ensure there are appropriate prior approvals for forgone requests, no cost extensions, and closeout processes
- Help Research Administrator develop and monitor project budgets, ensuring that all financial allocations and expenditures are in accordance with grant/contract guidelines, and provide investigator with monthly budget forecasts
- Serve as project administrator and liaison, representing the project and investigator to other Center departments, collaborators, affiliated individuals or institutions, and outside organizations
- Issue, monitor, and approve expenditures for multiple subawards, using the monthly finance report to track performance and timelines in partnership with the investigator
- Ensure all work in Investigator’s portfolio is in compliance with IRO and Technology Transfer by working with the Business Systems Analyst to submit new and renewal IRB applications and processing data use agreements
- Coordinate the submission of articles and manuscripts for publication, working with Administrative Coordinator to ensure compliance with NIH public access policy and sponsoring agency publication policies prior to progress reports (RPPR’s)
- Track study progress as well as team conference presentations and publications
- Review new NIAID, NICHD Funding Opportunity Announcements (FOAs) monthly for R01, R03, R21 grant opportunities that align with Chen Group portfolio
Project Management:
- Partner with investigator and project staff to create project timeline and ensure timeline and scope of work is progressing on target and within budget, anticipating and managing changes and challenges as they arise
- Create agenda and have weekly check-in meeting with the PI
- Coordinate research and administrative activities, working with the group PI and members to ensure projects are completed according to project/study timelines
- Anticipate additional or reduced project resource needs including staff, space, and finances, and develop solutions in partnership with the investigator and Administrative Manager as appropriate
- Coordinate receipt of new datasets with collaborators, investigator, and staff, proactively addressing potential IRB impacts and processing data use agreements
- Serve as project/study liaison, representing the project/study to other Center departments, funding sources, affiliated individuals or institutions, and outside organizations. Helping the leadership follow up team members and collaborator deliverables
- Organize regular status meetings with project team
- Making, taking and disseminating meeting agendas, minutes, and presentations
- Scheduling date/times, rooms, equipment, and catering/food
- action item review and tracking
- Coordinate DSMB report formation through timeline creation, data query tracking and follow up, report formatting, and FDA form submission.
Personnel Administration:
- Work with Administrative Coordinator to process HR related actions for hiring, onboarding, offboarding and assist investigator in performance concerns
- Coordinate seminar series: planning schedules, securing space and speakers, attending events and monitoring activities
- Remind team members of effort allocations as discussed with investigator and ensure ontime certification and time reporting
- Maintain and edit CVs, biosketches, other support, and webpages as changes occur
- Reconcile and approve your own Procard expenses and travel reimbursements
- Assist investigators with travel arrangements and reimbursements sponsored by outside agencies
- Oversee the development and distribution of Chen Group AEM monthly newsletter
- Maintain and update the AEM website and the SharePoint Site Collection
- Other activities in support of the program as needed
Qualifications
Education and Experience:
- Master in Public Health or in a related field of study
- HIPPA, GCP, and Biological Substances shipping training (Fred Hutch courses available)
- Minimum 3 years of work experience, preferably within research or academic environment, working on project coordination, administration, or management related tasks
- Must have demonstrated the ability to work independently and take the initiative in a dynamic environment. However, recognize when to consult appropriate individuals.
- Familiar with working collaboratively with multi-disciplinary teams
- Previous experience working with international collaborators a plus

- Experience with Adobe Experience Manager, SharePoint, Overleaf/LateX preferred
