About the Role:
The Workplace team works to host our employee community through functional & inspiring spaces, food, and security programs. As a part of the Workplace team, the Workplace Operations Program Manager will help run operations at Airbnb’s Headquarters while focusing on delivering a functional, fun, productive, safe and creative work environment. This person will help support high touch, high quality facilities and workplace services for approximately 4,000 occupants in a uniquely designed multi-building and growing urban campus.
Responsibilities
- Oversee management of all SF Campus Workplace Operations Projects
- Prepares project plans and drives the project from conception and planning to implementation. Will participate in the development of strategies, processes and resources.
- Manages project schedule, “progress to plan” and task details by utilizing project management tools, communicating deadlines to cross functional teams.
- Own SF Campus CAPEX and associated end-to-end process for Workplace Ops & Facilities. Act as Subject Matter Expert for other Workplace Projects as necessary.
- Run Workplace Spin Up / Building Handover from Real Estate. Work with XFN partners (Biz Tech, Finance, Food, Events, Space Planning, Real Estate & Construction, Safety & Security) and vendors to ensure successful building opening.
- Develop Overall Workplace Spin Up Standards.
- Assist with Global Workplace openings, if requested.
- Track overall performance management of Vendor Partners, evaluating KPI’s (Key Performance Indicators) and SLA’s (Service Level Agreements) where applicable.
- Manage C-Suite focused Workplace projects. Set expectations with stakeholders and deliver on plan.
- Liaise with internal stakeholders to deliver Workplace Operations scope in the following functional areas :
- TI Construction
- Base Building Systems (MEP)
- Kitchen Equipment
- AV Systems
- IDF Room Equipment
- Various Facilities Systems & Software
- Lead others to solve complex problems; use sophisticated analytical thought to exercise sound judgment and identify innovative solutions.
- Initiate maintain internal tracking tools for projects of all sizes. Outsourcing information to vendor partners and other departments as necessary.
- Utilize CMMS / ticketing systems to deliver metrics on in-progress and completed projects
Requirements
- 5-7+ years experience in facilities operations and/or project management. Experience in Tech preferred but not required
- Detail and customer service oriented and a highly collaborative team player.
- Ability to read and interpret CAD drawings
- Self-Directed, possess strong analytical skills, the ability to develop conclusions and make recommendations to meet deadlines.
- Participate as a team member on multiple projects simultaneously and work effectively in a fast-paced, dynamic team environment with high expectations for quality
- Be able to immediately recognize system shortcomings, respond to operational and emergency situations, and provide technical guidance/direction during real time problem management. Also must be able to act in a consulting capacity on projects and new design efforts.
- Ability to closely manage multiple vendor partners in a variety of projects.
- Experience in budget management and cost per square footage and cost per headcount metrics
- Experienced in managing CAPEX and other projects of varied scope and complexity.
- Knows how to lead with empathy, inclusion and collaboration
- Adept at contract creation and RFP processes
- Effective and positive, with an ability to clearly set expectations, train others, and promote teamwork
- Innovative idea generator with curiosity to seek solutions
- Excellent written and verbal communication skills
- Able to maintain ultimate flexibility in a rapidly changing business environment
