Job Description

We are seeking a Workplace Coordinator to join our New York office. In this role, you will be tasked with providing exceptional administrative support in partnership with the New York and Global Workplace Services teams. We are looking for a self-starter who will thrive in our dynamic and fast-paced environment to assist with a variety of needs across Jump’s New York office.

What you'll do:

  • Responsible for working with Workplace Services Administrator on management of general office maintenance and day-to-day operations, including but not limited to office and cafe equipment, ordering/stocking supplies, shipping/receiving, housekeeping, lunch catering coordination and related vendor relationships.
  • Effective member of the diverse Jump Trading New York team, able to work effectively with local professionals as well as visitors.
  • Manage reception and conference room coordination; properly screen incoming calls, greet guests, prepare conference rooms and ensure guests/candidates understand how to operate video conference equipment.
  • Collaborate with Global Talent Acquisition to ensure seamless candidate interview processes during onsite interviews.
  • Assist with maintenance of employee access cards; ensure guests comply with sign-in policies.
  • Collaborate effectively with Workplace team; participate in team meetings and on-going projects.
  • Maintain internal Confluence page on an ongoing basis with timely updates.
  • Assist with employee engagement opportunities, including in-office and off-site employee events.
  • As needed, assist with administrative support for other departments including but not limited to light accounting support, compliance document maintenance, new hire onboarding, etc.
  • Support other departments as required and demonstrate enthusiasm to help with any task as needed.

Skills You’ll Need:

  • Minimum education of Bachelors'
  • At least 2 years of experience in an office administration / support environment
  • Strong interpersonal skills – an upbeat, client service, can-do attitude
  • Excellent organizational skills and meticulous attention to detail
  • Strong verbal and written communication skills
  • Strong time management and prioritization skills
  • Team player, able to take direction as well as show initiative
  • Good judgment with respect to sensitive subject matter – able to uphold a strict level of confidentiality
  • Demonstrates reliable and predictable attendance
  • Ability to work in a fast paced and challenging environment
  • Good knowledge of Word, Excel, PowerPoint and Outlook
