Job Description
Boeing Global Services is seeking a motivated and qualified Assistant to an Elected Officer who will be instrumental in achieving business objectives through high-quality administrative support. This exciting, fast-paced, dynamic, and critical role will need qualified candidates to demonstrate great working relationships, strong proficiency with digital tools, ability to collaborate across multiple levels, outstanding verbal and written communication skills, and strong professional presence (including situational awareness and discretion).
This position will need to perform the following duties with attention to detail and integrity:
- Maintain and coordinate the executive’s daily schedule, track action items, author correspondence, and project manage accompanying activities in a dynamic, digital, and deadline-driven organization
- Maintain office culture through a positive attitude and collaboration
- Interface professionally with internal and external stakeholders to arrange and manage meetings, special projects and events, and to produce high-quality documents on the executive’s behalf
- Coordinate all aspects of travel (e.g., accommodations, transportation, expense reports, etc.), prepare required travel documentation (e.g., visa/passport, health, customs, cultural protocol, export compliance), arrange destination support, and prepare necessary business documentation (e.g., agendas, digital briefing books, presentations)
- Leverage a variety of digital tools for collaboration, project management and timely document delivery to the CEO
- Compose, edit and transmit error-free written and electronic communications and correspondence reflecting the executive’s style. Track incoming and outgoing communications to ensure actions are resolved in a timely manner
- Coordinate facilities requirements and CEO conference room, including video/teleconferencing and computing support
- Proactively anticipate the executive's needs to ensure facilities, equipment, and technical support is available
- Maintain continual office coverage to provide executive with administrative support at all times, including project management and tracking to ensure seamless transition of projects and responsibilities to backup administrative support personnel as needed/required
- Self-identify and initiate the search and retrieval of business data (e.g., forms, documents, procedures, policies, time keeping, expense reporting) from available resources
- Oversee the requirements necessary for the day-to-day operation of the executive’s office (e.g., office equipment, supplies, computing support, aesthetics)
- Create and implement job-related procedures, tools and resources (e.g., desk procedures, contact lists, checklists, databases)
- Share best practices with other office administrator colleagues.
This position sits in Plano, Texas and offers relocation based on candidate eligibility

REQUIRED SKILLS/EXPERIENCE
- Proficient using the Microsoft Office Suite
- Experience Coordinating and processing domestic and international travel arrangements, generating expenses reports and reconciling corporate credit card charges.
- Experience managing executive schedules and calendars using Microsoft Outlook
PREFERRED SKILLS/EXPERIENCE
- 5+ years of experience as an office administrator
