Job Description
Supports the Office Services team in providing a safe, efficient and attractive office envirornment. Performs multiple tasks daily to include maintenance of public office spaces and kitchen areas with set up and general cleaning during the day. Assists with meeting set up and clean up of conference rooms. Supports the Office Services team in distribution of packages and ensuring all areas have appropriate supplies. This position will also perform backup receptionist responsibilities.
- Prepare and maintain office space for daily operation to include:
- Clean all public areas, conference rooms and kitchen areas
- Restock appropriate items for supply, copier/printer and kitchen areas
- Assist with printing and binding request
- Maintain appropriate levels of office and kitchen supplies on a daily basis
- Coordinate and assist in setup and cleanup of conference rooms and setup of equipment as required for meetings
- Monitor working order of copiers and printers
- Relieve reception on a rotation basis for daily morning coverage, lunch and on the occasions regular receptionist is out or on vacation
- Assist in cleaning and prepare all office and desk space as required for new hires
- Assist in Fed Ex and other package distribution as well as sorting of mail
- May be assigned the owner of a repeat task or process in office services
- Perform other duties as assigned or required
IND 123
- BA/BS degree preferred with 1-2 years experience in a customer oriented position and/or in a professional service firm environment
- Proactive and able to execute on multi-step processes
- Excellent computer skills; experience with Microsoft Outlook, Excel and Word
- Familiarity with basic office equipment such as copier, printers, etc
- Extremely flexible and adaptable to change
- Strong communication and interpersonal skills with a high level of professionalism
- Works cooperatively with other team members, displaying a high level of motivation and enthusiasm for tasks
- Ability to handle stressful situations with poise, understanding and tact
- A self-starter with motivation to seize opportunities; good judgment a must
- Strong organizational skills and quality focus
- Meticulous with detail and extremely dependable
- Ability to work independently and prioritize daily activities under the general guidance of Office Manager
- Ability to lift up to 50 pounds and be able to regularly lift loads of 20 pounds
- Ability to stand, walk and work on feet for several hours, daily
