Job Description: The Workplace Services Manager will report to the Director of Workplace Services and will support all WPS activities, with emphasis on Construction Management, Space Planning, and engagement with leadership team in support of business lead initiatives in Austin, TX. The Workplace Services Manager will be a point of contact for internal and external customers seeking support and information from the WPS organization. The Workplace Services Manager will provide support to the Director of Workplace Services and the WPS organization, manage company functions including: facilities, office security, Health & Safety, events coordination, work order management, daily office operations, and provide hands-on general support services for divisional staff. Additionally, the Workplace Services Manager, under the supervision of the Director of Workplace Services, will direct the local WPS team, manage all outside contractors in support of the WPS Department, including records & contracts, and coordinate project activities as required.

Duties and Responsibilities

    • On-site point of contact for local leadership team, providing assistance & services in support of business goals & objectives.
    • Manage local Facilities, Security, Health & Safety, Purchasing, Shipping & Receiving, Front Desk Services, and Events.
    • ·Manage construction projects and lead expansion efforts to include tenant improvements, space planning, staff restacks, and office relocations.
    • Lead company efforts to develop security protocols enterprise wide. Be point of contact for security related incidents including incident reporting & management, report writing, and liaise with the Director of Workplace Services & parent company on all security related events.
    • Manage local office security through video surveillance and keycard access. Create and assign keys, keycards, and picture ID’s as needed.
    • Lead company efforts to develop health & safety protocols enterprise wide to include on-going management of evacuation programs. Conduct annual evacuation drills and manage volunteers in support of program initiatives.
    • Manage space planning projects. Coordinate planning, developing, and implementing departmental moves to include workstation reconfigures & adjustments.
    • · Help coordinate company events including logistics, vendor service contracts, insurance, ordering, setup, breakdown, and cleanup.
    • · Assist with maintenance of office/kitchen equipment, furniture, and fixtures.
    • · Perform a variety of handyman services to include furniture repair & assembly, patching & painting, and light plumbing/electrical/HVAC as needed.
    • · Assist with regular maintenance and general up keep throughout facility to ensure a clean and safe working environment.
    • · Order office supplies, facilities equipment, furniture, and fixtures as needed.
    • · Provide general assistance to employees, and manage work orders through online ticketing system.
    • · Manage Shipping & Receiving to include: mail delivery; processing of incoming/outgoing UPS, FedEx, USPS; and employee assistance with shipping services.
    • · Liaise with vendors, building engineers, and property management team while fostering positive working relationships.
    • · Liaise with WPS leadership and other WPS team members throughout the enterprise.
    • · Provide assistance and support on projects throughout the enterprise. Some travel required.
    • · Manage local staff in support of Workplace Services objectives, goals, and initiatives.

Ideal Profile

    • · Position will work closely with leadership team to include project updates, coordination, and collaboration.
    • · Project management experience required.
    • · Management of large construction projects, space planning, moves, & restacks required.
    • · Knowledge of office security and safety. Honeywell system management a plus.
    • · Experience with developing, implementing, & enforcing security and safety protocols.
    • · Working knowledge of OSHA standards for office environments.
    • · Health & safety certifications a plus.
    • · Previous security management or law enforcement experience a plus.
    • · Detailed and customer service oriented.
    • · Ability to multi task in a fast pace working environment.
    • · PC literate with working knowledge of Microsoft applications.
    • · 10+ years experience in a large office/campus environment consisting of 1000 employees.
    • · Ability to lift 50 lbs. and cart 100+lbs.
    • · Have a neat and tidy appearance with excellent written and verbal communication skills.
    • · Hands-on experience with making repairs and modifications to a building’s infrastructure.
    • · Hands-on experience with making repairs and modifications to modular furniture.
    • · IFMA FMP Credentials a plus.
    • · Confidentially is a must.
