Responsibilities
POSITION OVERVIEW
Executive Assistant providing dedicated partnership support to the Management Team Executive Assistants. This highly visible role will work daily with our top-level executive assistants and leaders.
The individual will have a variety of responsibilities such as desk coverage and tasks in support of executive assistants and their leaders in a fast-paced global environment. It is essential the individual demonstrates exceptional leadership, excellent sense of proactiveness, collaboration to effectively utilize all support resources, agility and professionalism. This role is an excellent opportunity to expand C-Suite experience while making a difference every day.
RESPONSIBILITIES:
- Dedicated partner to Management Team Executive Assistants. Duties include:- Primary back-up desk coverage for out of office/vacation - Manage meeting and event coordination (may include all logistics, agendas, document creation, etc.)- Expense reports for Management Team Executives- Provide miscellaneous administrative support to visiting Management Team Executives and Executive Consultants as needed- Travel/Visa/Passport assistance- Company car mileage reporting- SharePoint site administration- Conference Room expertise- Routine tasks including office supply management, manage phone calls, file organization, and coordinate printing for large meetings- Prepare effective and accurate PowerPoint presentations- Data entry and research as needed
- Special projects and tasks as assigned
Qualifications
REQUIRED SKILLS/EXPERIENCE
- Associates Degree is required
- Minimum 6-7 years Executive Assistant experience
- At least 2 years of C-Suite experience preferred
- Learning agility with policies and procedures (external)
- Excellent organization skills with exceptional attention to detail
- Excellent communication skills, both verbal and written
- High degree of proficiency with Microsoft Office (Outlook, PowerPoint, Word, Excel). Must have intermediate Outlook and PowerPoint skills
- SharePoint and Skype for Business knowledge preferred
- May require occasional accessibility and work hours outside of the standard work day
- May need to work during highly desired vacation time
PREFERRED SKILLS/EXPERIENCE
- Strong ability to delegate and effectively utilize all support resources in a collaborative team environment
- Strong desire to learn and grow within this role is preferred
- High level of critical thinking, independent judgment and decision making to analyze and resolve highly confidential or complex nature of work/problems
- Leadership role acting as liaison for leaders. Has regular contact with all levels of global employees, company board members, and outside organizations
